Hi Zoom Community - My first post

I wrote an article in our Company Community - encouraging our teams to engage more in our meetings by having cameras on rather than off - To encourage team work, community and engagement. This provoked a good discussion but I got into a discussion with one developer saying that "Having a camera on - used 96% more carbon than turning the camera off"  citing this study https://foundation.mozilla.org/en/blog/ai-internet-carbon-footprint/

We debated but when I read the study it seemed filled with generalisations and assumptions. I am eager to get our teams using Zoom - with cameras on, when appropriate but would be interested if there is any technical info regarding a zoom call with camera on or the same zoom call with camera off.  I recognise there is processing server side and so may be more than just the data across the network.

Does anyone have any data or information of the data difference - or indeed if using camera is 96% more carbon than audio only perhaps we should be encouraging "switch off where possible" .

I realise this is a complex topic bit any decent information would be most useful

Key Highlights from Zoom’s August Releases

Zoom Clips Updates

  • General public beta availability for Zoom Clips - Zoom Clips offer a convenient solution for capturing both personal video and screen activities, allowing users to effortlessly share their recordings with others. This feature is particularly valuable when demonstrating product features or showcasing various functionalities. Users can conveniently access their Clips through their client or web portal, and receive notifications about views, comments, and replies related to their Clips. The feature can be enabled or disabled at the account, group, or user level and is available for public beta during this release. To learn more about Zoom Clips, visit the Zoom Clips support page.

Zoom Client Updates

  • Meeting Summary: Next Steps and Segment Titles - Windows, macOS - The Meeting Summary feature, which uses AI to analyze and summarize in-meeting discussions, is enhanced to also include a list of next steps mentioned in the meeting and titles for each segment of the meeting . These next steps and segment titles are included in the email and Team Chat summary shared with the host and participants (if allowed).

Zoom Web Updates

  • Enhanced feedback form: Admin control - The Give Feedback form, available in the desktop client and mobile app, is redesigned to enable customers to provide satisfaction scores and provide feedback on Zoom’s product suite. Admins can choose to provide this feedback option for users on their account, as well as allow users to provide text feedback or just satisfaction scores. This setting is available at the account, group, and user levels.
  • Auto-start Meeting Summary with Zoom IQ - Admins can allow their users to have the Meeting Summary feature automatically start for any meetings they host, skipping the need for them to manually enable the summary generation during their meetings. Users can still stop and start the summary as needed in the meeting. This is available as a sub-setting to the current Meeting Summary with Zoom IQ setting, available at the account, group, and user-level settings pages.
  • Additional captioning language support - Automated captioning support is expanding to include captioning for the Farsi/Persian and Romanian languages, both in Beta. These languages are enabled by default, but admins can control the availability of these languages through the Automated captions setting within the web portal.
  • Additional translated captioning language support - Translated captioning support is expanding to include caption translation from English to Tamil and English to Hebrew, as well as translation support between Portuguese, Romanian Persian, and Canadian French with all other currently supported languages. All of these newly supported languages are currently in Beta. These languages are enabled by default, but admins can control the availability of these languages through the Translated captions setting within the web portal.

Zoom Scheduler Updates

  • Allow attendees to add guests to scheduled appointments - Attendees can add guests when they book or reschedule an appointment. A maximum of 100 guests can be added to an appointment. Additionally, guests can reschedule, decline, or delete an appointment. Previously, attendees had to add guests after creating an appointment outside Zoom Scheduler within their calendaring application.

Zoom IQ for Sales Updates

  • Multi-Language transcript translation - Users can easily translate conversation transcripts into multiple languages on demand and save these translations for future viewing. This feature currently supports Chinese, Dutch, French, German, Hindi, Italian, Japanese, Korean, Portuguese, Russian, Spanish, Ukrainian, and Vietnamese in addition to English.

Zoom Phone Updates

  • Provisioning Template - Account owners and administrators can no longer utilize the parameters provisioning/firmware/url and provision.url in the provisioning template. If these parameters are being updated in an existing template or included in a new template, an error will occur, indicating the need for their removal. However, templates created before this change will remain unaffected, and no action is required for them. If configuring these items is critical, submit a request to Zoom Support to have this enabled for your account.
  • Provisioning walkthrough for Zoom Phone admins - Shows admins how to add users to their Zoom account and provision them with the desired Zoom Phone calling plans (extensions) and phone numbers as quickly and efficiently as possible.

Zoom Events Updates

  • Upload recording files to Zoom's cloud recording storage for simulive - A recording file can be placed into Zoom's cloud recording storage and linked to the hub so that the hub owner or hub hosts can choose it when they are scheduling a simulive webinar. Hosts can set up a simulive webinar and upload their own preferred video. Once the video is processed, it can be selected as the simulive source. Uploaded recordings are also visible in the Zoom web portal recording list and are tagged with the “From a Zoom Events Hub” label.
Note: This feature must be enabled by Zoom. Zoom Events users who have qualified for video replacement can also upload recordings for Simulive. Zoom Events users who are not on a qualifying account can use Simulive but can only select from existing hub recordings. For additional questions, contact Zoom Support to discuss whether this feature is available for your account.
  • Security code at event join - Hosts can enable the Security code at join option in the event creation setup. A security code will be sent to each attendee's inbox every time they join the host's event. Depending on the attendees' event authentication portfolio, attendees who join an event with the  Security code at join option enabled will have different scenarios.

Zoom Whiteboard Updates

  • Allow users who are not signed in to create in-meeting whiteboards - Users who are not signed in can initiate and take part in whiteboard sessions during a Zoom meeting, leveraging the "Host owns all boards" feature. This functionality enables unsigned users to view and create a whiteboard, which will be owned by the host since the user is not signed in. To simplify the sign-in process, sign-in options are displayed within both the meeting and whiteboarding interfaces, enabling users to conveniently sign in while actively participating in a meeting or whiteboarding session.

Zoom Virtual Agent Updates

  • Amazon Connect integration - Account owners and admins can integrate Zoom Virtual Agent with Amazon Connect. This feature can be leveraged to enable the utilization of Amazon Connect as a chat platform when this feature is enabled for the Customer Relationship Management (CRM). With this integration, the knowledge base team can also create a knowledge base sync with Amazon Connect system, mirroring the familiar structure of existing CRM integrations.

Zoom Contact Center Updates

  • Virtual Service Numbers for Japan - Zoom Contact Center is introducing the ability for admins to purchase Virtual Service Numbers (050 & 0ABJ) in Japan, enabling agents to receive inbound calls and make outbound calls. Account owners and admins can select their preferred number from the pre-populated list, with a notification displaying the concurrent call limitations for each phone number type. Admins will be required to schedule a video call during Japan working hours to show the actual documents uploaded for verification. Call routing for 0ABJ outbound calls will be geographically based, with specific routing requirements for Eastern and Western cities of Japan.
  • Enhancement to 10DLC registration - To comply with carrier regulations and avoid potential message blocking and surcharges, Zoom Contact Center is introducing a warning message for agents who send SMS from US/CA Virtual Service numbers but have not created a 10DLC campaign. This warning will be displayed whenever agents send messages via the Zoom Contact Center client. Messages will not be blocked if a valid 10DLC campaign is active, pending, or associated with the phone number used for messaging. SMS-enabled numbers that are not US/CA numbers are exempt from this requirement.

Business Announcements

  • Upcoming Support Site Maintenance – Maintenance is being performed on Zoom’s support site in November (date and time coming soon). During this time, support.zoom.us and the support ticketing form will not be accessible, though you can still use Zoom Community, chatbot, and phone support (based on your plan). Please note that once maintenance is performed, tickets closed more than a year ago will no longer be accessible. You can refer to the support article and check the Zoom status page closer to November for more information.
  • Zoom Software Lifecycle Policy - We plan to enforce the next round of our Software Lifecycle Policy on November 4, 2023, for all products and services, starting with the minimum versions referenced in the table found here. Users running an end-of-life version after November 4 will not be able to join meetings via the Zoom Client and will be prompted to update or join from the Web browser. As always, we highly recommend you regularly download and update to the latest version of Zoom software by checking for updates within the Zoom desktop client or by navigating to zoom.us/download to take advantage of all our latest security and functionality features.

33.2 million.

That’s how many small businesses there are in the U.S. alone in 2022, according to U.S. Small Business Administration. Organizations with a few hundred employees or less make up 99.9% of businesses across the U.S., and employ nearly half of the country.

These small businesses have to be scrappy. They need to find savvy ways to break out in today’s crowded market — reach new audiences, automate processes and improve efficiencies, and do more with less. The right technology can unlock all that, and then some.

According to a study by the U.S. Chamber of Commerce, 93% of small-business owners use at least one tech platform or tool to run their business, with the average owner utilizing three different platforms. Of those, 85% report that technology platforms helped to get their business up and running, and 94% report that technology helps them run their business more efficiently and 80% say technology “helps them have more time to spend away from their businesses and with their family.”

But some may not realize that they only need one platform to achieve these goals. Zoom One, our all-in-one offering brings together phone, team chat, whiteboard, meetings, and third-party integrations into a single user experience to help you get more done. And two of its core products — Zoom Phone and Zoom Team Chat — help thread together a unified communications experience that small businesses can use to foster productivity, expedite operations, and better connect with customers.

Dialing into phone communications

According to a 2022 Morning Consult survey commissioned by Zoom¹ , many small business respondents rely heavily on phone communications. When asked, “How often are phone systems used at your organization?” 76% of respondents said they use phones daily to communicate.

When asked, “Does your organization use hard phones, softphones, or both to conduct business-related calls?” only 17% of survey respondents reported using a softphone versus 49% who used a mobile phone or 33% who used a hard phone.¹

Using a softphone — like Zoom Phone — might help you better address your business’s operational and service needs. Here’s how you can wield it to your advantage:

  • Set up call queues to help lessen response times. Divide and conquer customer inquiries by setting up call queues to route calls to a designated group of users, such as a sales or support team, so the first person available can answer the phone.
  • Answer calls on different company devices. By taking advantage of a softphone’s flexibility, small businesses can make and receive calls on a mobile phone, a laptop, tablet, or any other company device connected to the internet. You can still use hard-wired phones too, since Zoom Phone connects with hardware devices and even offers a hardware-as-a-service program.

zoom-client-phone.jpg

  • Elevate a business call to a meeting. Employees may be on a phone call and want to draw a quick sketch or pull up a document to review with the other people on the phone. Within the Zoom platform, employees can easily go from a phone call to a video meeting when the situation requires, helping enable a more productive conversation.
  • Don’t lose business when you lose connectivity: If you experience an outage from a carrier, storm, or natural disaster, Zoom Node and the Zoom Phone Local Survivability (ZPLS) module help you minimize revenue loss, maintain internal communication, and establish on-site safety with survivability that lasts for several days.
  • Bring in your other workflows: You can use your favorite business tools in tandem with Zoom Phone. Our phone solution integrates with essential applications like Salesforce, Google G-Suite, ServiceNow, and HubSpot.
  • Get insight into and elevate the customer experience: High call volume from customers? Need to better understand why you’re not making a sale? Zoom Phone Power Pack can help. It’s designed to help through advanced analytics for real-time and historical insights. It also offers an enhanced desktop experience to streamline call handling so every call goes to the right person, and team SMS functionality, so your team can respond through text message.

Sending the right message with chat

What small businesses lack in resources, they make up for in agility. Our instant messaging offering, Zoom Team Chat, can help you share important information across your business in a snap. This persistent chat solution comes already included with Zoom products.

A few ways you can use Zoom Team Chat to enable seamless collaboration:

  • Create chat channels for different groups and projects. Set up chat channels for different teams as well as cross-functional projects as they come up. This allows employees to tailor messages and communicate relevant information to specific team members.
  • Screenshot, annotate, and share images. Employees can share files and images in chat channels for quick collaboration. Need to get the point across visually? Use the Zoom desktop client to take screenshots, add annotations, and share them directly in chat.

zoom-chat-annotate.png

  • Fill gaps where information may have previously seeped through: Our continuous meeting chat feature allows meeting participants to communicate before, during, and after a meeting by creating a dedicated group chat in Zoom Team Chat for meeting participants. When enabled, in-meeting chats will show up in that group chat as they are sent in the meeting, allowing conversations to continue after a meeting ends.
  • Never miss a beat with helpful reminders: Running out the door and want to save an important message for later? The remind me feature helps you follow up on a message at a later time, so you can stay on top of tasks without having to be always available.
  • Save time with the help of AI: If you need to get up to speed on chats and provide a timely response, you can use the Team Chat compose with Zoom AI Companion (free trial for customers in select plans) to draft a message for you based on conversational context. You can change the message tone and length to customize suggested responses.
  • Keep your important files in one place: Want to quickly kick over an important document to a team member? Zoom Team Chat integrates with Box and Microsoft SharePoint, empowering teams to save time and simplify workflows with the ability to upload, share, access, and manage files.

Growing your business in a hybrid world

In the heart of a bustling office, one of my clients found themselves ensnared in the unending web of monotony. Week in, week out, they labored through the same product demos and sporadic user training webinars. The grind was relentless, with webinars piling up as frequently as twice a week, depending on the client's demands. Frustration was mounting, and a solution was desperately needed.

In search of a better way to handle these recurring webinars, I introduced them to the concept of "Simulive." Simulive, short for "simulated live," is a game-changer in the world of webinars. It allows you to record your webinar sessions and make them available for your clients to join at their convenience thus, unleashing newfound efficiency and productivity.

Now, they are no longer shackled by the need for extra assistance during presentations just to answer the Q&A or chat queries, they achieved more with less effort, ultimately turning the tide in their favor.

I am not a developer. There is nothing I have created to work within my zoom account. But I got the message about the jwt deprecation.

I apparently have one app that was jwt. It's the developer.zoom.us API

I have no idea what this is or why I have it. I have tried emailing support and the answer wasn't helpful. They also closed the ticket so my response requesting more information isn't going anywhere. The support chat keeps asking me to rephrase the question. IM on the zoom facebook page has not responded.

Can anyone here tell me if I need to take any action about this API?

Thanks!

My journey to learn the Spanish language was fueled by a deep passion, and it led me to a local language school. I was elated when I learned that they offer online classes and would be conducted through Zoom. I immediately enrolled and took the opportunity to start my learning journey.

Initially, our instructor relied solely on a presentation deck, but my suggestion to use the Whiteboard for collaboration was met with enthusiasm from the entire class. The Zoom Whiteboard allowed us to share our work, correct mistakes easily, and foster a collaborative learning environment. However, there came a point when we were informed of a switch to another video conferencing platform. In my opinion, this was a significant misstep. The new platform was web-based, had terrible audio quality, and ate up over 30 minutes of our time just to address audio issues. Even the instructor's video feed was so poor that it had to be turned off, and there was no Whiteboard for collaboration.

As an advocate for Zoom, I couldn't stay silent. I raised my concerns and emphasized what we were losing by leaving Zoom behind. Eventually, we returned to using Zoom, and everyone was happy. Zoom has become an indispensable tool, making learning more accessible and convenient. The ease of use made it effortless for students to attend to class whenever, wherever. In my case, it eliminated the need for a two-hour commute and allowed me to pursue my learning from the comfort of my home.

Zoom has not only made learning Spanish possible but has also transformed the lives of many, including mine.

Productivity hacks: New ways to save time during the workday

Time really is money — it needs to be spent wisely. We only get so many hours in the day to do everything we need to, like move through our to-do lists, make an impact at our jobs, and spend time with loved ones at the end of the day.

So it’s vital you make the most of the time you do have, which often means finding ways to maximize productivity and reduce redundant or monotonous tasks. But increasing productivity can feel easier said than done — it’s hard to say no to a new project, and you can’t push off your mundane tasks to someone else. That’s where technology comes into play.

By finding solutions that help you trim back on unnecessary tasks, you can streamline workflows and make your workday work better for you. A few productivity hacks to start with:

Bring note-taking into your communications platform

You’ve taken notes since you were in school. They’re essential for remembering important items and reflecting on what you learned, and the same goes for today’s working professionals. Many people use digital note-taking tools to summarize and track action items for projects or during meetings. And while these are necessary for documenting details, jumping from your note app to your meeting solution can hurt your focus. After a call, you usually have to spend a few extra minutes sharing the notes with everyone, and then wait a few extra hours or even days to get their input in there. This adds up, especially if you have a lot of meetings on your calendar.

Our advice: bring your note-taking app into your existing communications platform. By combining the two, you can have everything you need in one place to stay productive, easily tracking your to-dos before, during, and after meetings.

That’s why we’re offering Zoom Notes (planned to be available by Sept. 11). With Zoom Notes, you can create and take notes right in the Zoom app, which helps you:

  • Create a personal or shared agenda before a meeting to help everyone prepare
  • Manually capture what is shared in a meeting
  • Share outcomes, action items, and decisions after a meeting for visibility and alignment
  • Pull up a note in a meeting without the distraction of switching apps
  • Build a central repository for personal and shared notes

Notes-in-meeting-w-background-2048x1280 (1).jpg

Zoom Notes will be available to all paid Zoom customers, with the exception of those on a Zoom United bundle.

Make finding time to connect the easiest part of meeting

Speaking of skipping unnecessary steps — why use a scheduling tool that’s outside of your meeting solution? Using third-party apps like Calendly means you have to toggle between multiple applications like your email, calendar, and video communications solution just to set up a call, potentially hurting productivity.

Find that same functionality within existing solutions, starting with Zoom Scheduler (now generally available). With our scheduling tool, you can reduce the time and hassle of appointment scheduling by getting it done all within Zoom.

You can use Zoom Scheduler to:

  • Generate slots of availability when all relevant stakeholders are available
  • Create a recurring instance of availability
  • Allow multiple users to sign up for one slot
  • Automate and personalize email reminders and confirmations
  • Collect preferred information during the attendee booking process
  • Customize the colors, logos, and more on your appointment booking page to align to your brand voice
  • Set up a session that allows an attendee to find time with an available team member
  • Customize and shorten any URLs you generate

Hold efficient, dynamic brainstorming sessions

We all know the feeling: you need to get started on a project, but you can’t find the inspiration or motivation. You’re wasting precious time trying to figure out how to get out of your creative slump or writing block.

Another productivity hack: find a free-flowing space to get a brainstorm going, spark an idea, or conceptualize something visually.

A virtual whiteboard can be the key to unlocking new levels of creativity and collaboration. With a digital canvas, you can expand and clarify ideas in a visual way, helping you move past mental roadblocks and on to tackling the project at hand. And with Zoom Whiteboard, you can watch ideas come to life together with your team, using it to collaborate before, during, and after meetings.

While there are dozens of whiteboarding features you can use to effectively visualize ideas or get inspired, here are a few that will help you streamline brainstorming sessions:

  • Launch a meeting from within a whiteboard: Want to walk through a whiteboard live after receiving input? Instantly launch a Zoom Meeting with all of the active collaborators on your whiteboard, and dive into a discussion right then and there.
  • Presentation mode: Get the group’s attention by requiring collaborators to follow along when you’re presenting a whiteboard during a meeting. They won’t be able to edit the canvas when you set this feature on, keeping them focused on the subject matter at hand. That way, you can get the input you need in a timely manner.
  • Timer: Keep teams on track with an activity timer feature that also serves as a countdown clock. You can extend the time or play sound effects when time is up, inspiring everyone to take quick and effective action.
  • Templates: You can design and publish internal whiteboard templates that only your organization can access. So when lightning strikes and a great idea pops into your head, you can quickly launch an existing template and share it with your teams in a snap.

Collaborate over asynchronous video on your own time

Sometimes, you need to hop on a quick video call with someone to explain a convoluted topic or visually display how something works. But what happens if you can’t track them down or get a call on the books?

That’s where asynchronous video tools come into play. With these solutions, you can quickly record yourself and your screen, and then send those videos to relevant stakeholders. Our asynchronous video offering, Zoom Clips, helps you do just that, allowing you to easily record, edit, and share high-quality short-form videos both internally and externally. You can demonstrate important information to teammates in a pinch, add a personal touch to your collaboration, or just share a detailed project update without having to join a live meeting.

Zoom-Clips-productivity.png

With Zoom Clips, you also get a dedicated content library where you can manage, share, rename, download, or delete your clips. And you can share this content with others at any time, so they can then view the clip, leave comments, or use emojis to react to it. You can get your message across without having to waste time getting a hold of someone.

One place to stay productive

The little things add up to a lot of time and energy — the time it takes to share notes with a team, set up a meeting, or get a brainstorming session going. By trimming unnecessary tasks, you don’t just regain productivity, you also pave the way for more strategic, meaningful work.

Whether you’re bringing notes or scheduling apps into your communications platform, simplifying workflows with integrations, or cutting out the mundane with intuitive AI features, the Zoom platform is your one-stop shop for productive, meaningful work. All of these come as part of our Zoom One offering, which combines chat, phone, meetings, whiteboard, and more into one seamless platform. One dedicated space for productive work, with possibilities for limitless connection.

I have been working in Customer Success for a long time, and it has always been my passion to help people. On the other hand, music is another passion of mine, in fact, it is my first love. I never thought there would be a time that I’d experience both which had a great impact on my career here at Zoom and my love for music.

I recently met with this client who offers therapy services specially for children cancer patients – That, itself, is simply enough to melt my heart. Hi Everyone,

Zoom is a powerful tool, but security should always be a top priority, especially for organizations using System Management Software. Here are some key security considerations to keep in mind:

  1. User Access Control: Ensure that only authorized users have access to your Zoom meetings and account through your System Management Software. Use strong, unique passwords and enable multi-factor authentication (MFA) to add an extra layer of security.

  2. Meeting ID and Passwords: Avoid using personal meeting IDs for sensitive meetings. Generate random meeting IDs for each session and use strong, unique passwords. Don't share meeting details publicly, and manage this process through your System Management Software.

  3. Waiting Rooms: Enable the waiting room feature to control who enters your meetings, all within your System Management Software (lenovo.com/gb/en/servers-storage/software/management/). This gives you the ability to admit participants individually, reducing the risk of unwanted attendees.

  4. Screen Sharing: Limit screen sharing to hosts and trusted participants, with controls managed through your System Management Software. You can restrict screen sharing to prevent disruptions or inappropriate content.

  5. End-to-End Encryption: Zoom offers end-to-end encryption for meetings, but you need to enable it in your settings through your System Management Software. Keep in mind that some features, like recording, may not be available with E2E encryption.

  6. Updates: Regularly update Zoom to the latest version through your System Management Software to ensure you have the latest security patches and features. Configure automatic updates where possible.

  7. Data Privacy: Familiarize yourself with Zoom's data privacy policies and compliance standards. Ensure that your organization complies with relevant data protection regulations like GDPR or HIPAA through your System Management Software.

  8. Recordings: If you record meetings, store them securely and restrict access to authorized personnel through your System Management Software. Be mindful of any sensitive information shared in recordings.

  9. Third-Party Integrations: Review and audit third-party integrations that you use with Zoom through your System Management Software. Ensure they meet security standards and are kept up to date.

  10. Training and Awareness: Educate your organization's users about Zoom security best practices. Conduct training sessions and provide resources to help them use the platform securely, all managed through your System Management Software.

Best Regards,

William
