As organizations explore the benefits of generative AI, one of the most prevalent concerns revolves around privacy and data governance. At Zoom, we firmly believe that AI should be both powerful and adaptable, conforming to your specific requirements rather than forcing you to adapt to it.
 
Customers using AI Companion in Zoom Workplace have three distinct deployment options available, where each involves different approaches to data processing and third-party AI models. Customers can reach out to Zoom support to understand their default deployment and to select their preferred AI Companion data processing option based upon their data residency preferences, compliance requirements and account availability.
 
No matter what deployment option a customer uses for AI Companion, Zoom's commitment to responsible AI remains. In line with these commitments to responsible AI, we do not use any customer audio, video, chat, screen sharing, attachments, or other communications-like customer content (such as poll results, whiteboard, and reactions) to train Zoom’s or its third-party artificial intelligence models. Your content is your content, and this applies to all of our AI Companion deployment options.

Keeping it close with ZMO: A fully Zoom-managed approach

 

If it's important to you to limit data processing to the Zoom Platform, Zoom-hosted Models Only (ZMO) is the option for you. Available AI features are powered solely by Zoom-hosted models running on infrastructure managed directly by Zoom. With ZMO, the AI models are hosted in the region where your account is provisioned and allows us to process the data in region within the Zoom trust boundary.
 
Available AI Companion features are powered by Zoom-hosted models running on infrastructure managed by Zoom. That means:
 
  • Content data used for AI Companion is processed within Zoom's infrastructure
  • Deployment aligns with data residency preferences for supported regions
 
ZMO is a good fit for highly regulated industries or customers with strict internal policies that still want to utilize AI capabilities to enable features like Meeting Summary.
 
However, because this approach does not use external model providers, AI Companion features that rely on third-party model providers are not available with this hosting option. Currently, AI Companion's ZMO deployment option supports a number of popular features, among them are Meeting summary, Team Chat Compose, Whiteboard and Docs content generation, and many others.

Utilizing Amazon Bedrock with ZM+: Enable a broader set of models in Region

 

For customers who want to use third-party models, but still want to keep AI model processing under Zoom's technical control, Zoom-hosted Models Plus (ZM+) offers a compelling solution.
 
This approach adds Anthropic’s large language models running on Amazon Bedrock to the Zoom-hosted models. Amazon Bedrock is a fully managed service provided through Zoom’s existing cloud services provider AWS. Importantly, Bedrock allows AI Companion to be powered by cutting-edge third-party models—such as those from Anthropic—without sending user content to those model providers.
 
In short:
 
  • AI Companion data processing remains
  • Utilizes trusted and familiar AWS infrastructure
  • Aligns with data residency preferences for supported regions
 
While ZM+ provides for an expanded set of AI models, not all AI Companion features are currently supported. For more information, see the “AI Companion Features” section of the AI Companion Security and Privacy Whitepaper.
 

For customers choosing to utilize Zoom's European infrastructure, ZM+ is the default AI Companion deployment option. To change to ZMO, please reach out to Zoom support or your account team. Customers hosted in regions beyond the U.S. or the EU, can access available AI Companion features through ZMO. We are currently in the process of rolling out ZM+ to more regions.

 

Bring your own data to customize your AI Companion

 

ZM+ has another advantage compared to ZMO as this option is now available with Custom AI Companion. This premium add-on for AI Companion powers the customization of AI Companion’s agents and skills to expand its knowledge for your organization. 

With Custom AI Companion paid add-on for Zoom Workplace plans, you can include information from your organizational data sources, including third-party applications, using Zoom AI Studio for expanded knowledge to help drive decisions, actions, and complete tasks.
 

Unleash the full power of Zoom AI Companion with federated AI and access to industry-leading models

 

For customers looking for the full experience with everything Zoom AI Companion has to offer, utilizing our federated AI approach is the right choice.

This approach comes in two flavors:
For customers provisioned on our global data cluster, we currently offer our full portfolio of AI models —from Zoom-hosted models to leading third-party AI model providers and services like Anthropic, OpenAI, and Perplexity.

Our federated AI approach:
 
  • supports the widest range of AI Companion features;
  • enables use of large language models from leading providers.
 
This option is perfect for organizations focused on innovation and performance who are comfortable with external model usage and AI Companion data being processed outside our trust boundary. And as with other approaches, inline with Zoom's commitment to responsible AI, we have implemented controls to ensure that customer content data is not used for training models. This includes use of features that require third-party AI providers.

For customers provisioned on our local data cluster, for example in Europe, we offer a combination of ZMO and ZM+ with additional models by OpenAI and Elvenlabs available for Zoom Contact Center. The communication with these models is done via API-Calls to data centers in the region.

1. ミーティングをスケジュールする

  • 出席者全員のスケジュールを確認する時間がありませんか?そんなときはAI Companionを活用しましょう。サイドパネルを開くか、ホームタブに移動して、招待したい出席者を伝えてミーティングをスケジュールするように依頼するだけです。AI Companionにより、全員の都合の良い時間が見つかり、代わりにミーティングスケジュールが作成されます。

ミーティングをスケジュールする際は、必ず継続的ミーティングチャットを有効にしましょう。この機能を有効にすると、出席者はミーティング前、最中、終了後を通じてコミュニケーションを取れるようになり、すべてのメッセージと添付ファイルを一か所にまとめておくことができます。 

また、ミーティングでAI Companionが有効になっているかを事前に確認しておきましょう。そうすれば、後で有効にし忘れる心配がありません。あらかじめ有効にしておくことで、ミーティング要約を受け取れるほか、AI Companionを通じて、ミーティングの文字起こしから情報を収集してドキュメントの生成やタスクの作成などを行えるようになります。


2. アジェンダを準備する

ミーティングを成功させるには、ミーティングアジェンダが不可欠です。事前に議題リストを共有することで、出席者全員が準備を整え、ミーティングの内容を予め理解し、共通の目標に向かって貢献できるようになります。理想的には、出席者が事前に目を通したり意見を追加できるよう、ミーティング前にアジェンダを送信しておくことが望ましいです。 

AI Companionを活用することにより、関連するチャット、ドキュメント、ミーティング要約から文脈を読み取り、通話のたたき台となるアジェンダを作成されます。場合によっては、ミーティングで取り上げるべき内容について出席者から意見を集めたい場合もあるでしょう。そのための方法の一つが、Zoom Workplaceで作成して送信できるミーティング前の投票やアンケートです。プロジェクトの進捗状況を確認し、新製品に対するチームの理解度を尋ねることで、アジェンダに追加すべき項目かどうかを把握できます。Zoom Docsでアジェンダを作成すれば、ミーティングの招待への添付、チャットでの共有、ミーティング中の画面表示などを簡単に行えます。 


3. ミーティングの開始前のチェックイン

ミーティング開始前に、議論がスムーズに進むよう、出席者全員に必要なものが行き渡っていることを確認しましょう。アジェンダだけでなく、ファイル、ホワイトボード、ドキュメントなどのリソースを、継続的ミーティングチャットやミーティングの招待で共有します。こうしておくことで、チームは必要な情報をミーティング中も将来も簡単に見つけることができます。 

ミーティング前にチャットで事前に質問を投げかけたり、アイスブレイクを行ったりすることもできます。そうすることで、ミーティング開始と同時に出席者全員がスムーズに本題に入ることができます。ミーティングに出席できない人も、チャットで進捗を共有し、意見を提供できます。これにより、関係者全員が常に最新の情報を把握した状態を保つことができます。

4. AI Companionで最新情報を入手

ミーティングをスケジュールする際にAI Companionを有効にしておくと、通話中のメモ作成や質問への回答は、AI Companionによって行われます。有効にしていない場合でも、ミーティングツールバーのAI Companionのダイヤモンドをクリックするだけ利用を開始できます。 

通話中にリアルタイムでAI Companionによるミーティングの文字起こしが生成され、出席者は各自のサイドパネルで「私の名前は出ましたか?」、「ここまでのアクションアイテムは何ですか?」などの質問ができます。 

アジェンダアイテムを議論し、意思決定を行い、互いにタスクを割り当てていく中で、AI Companionによって、すべての内容が記録され、ミーティング後にアクションアイテムと推奨されるタスクを含むミーティング要約が生成されます。


5. プロジェクトのコラボレーションと管理

ミーティングはリアルタイムのコラボレーションが重要です。Zoom Docやホワイトボードを共有することで、出席者は議論しながら、共同編集や情報追加を行えます。Zoom Docsに進捗状況を記録し、共同作業者をタグ付けすることで、コメントやメモの追加が可能になります。視覚的に分かりやすくするため、ホワイトボードをZoom Docに埋め込むこともできます。

Googleドキュメントや Microsoft Wordを使用している場合も、画面共有で簡単に共同編集が行えます。

6. 作業を開始に必要なファイルを見つける

ミーティング中の情報共有は、チャットにリンクやファイルを投稿するとスムーズです。ミーティング終了後、継続的ミーティングチャットで送信されたすべてのメッセージとともに、それらの役立つリソースを見つけることができます。このチャットが定期的なミーティングシリーズに属している場合、チャットウィンドウ上部の[リソース]タブをクリックすることで、シリーズ全体で共有されたすべてのファイル、画像、ドキュメントを確認できます。このように情報がすぐ参照できる状態にあれば、ダウンロードし忘れたPDFを探し回る必要がありません。


7. 物事を前に進めるためのアクションを実行する

ミーティング後のフォローアップやアクションアイテムを確実に処理し、停滞を防ぎましょう。ミーティング終了後は継続的ミーティングチャットに戻り、未解決の疑問点をすべて解消します。Zoom Tasks タブに移動して、ミーティングで推奨されたアクションアイテムを確認し、承認すると、それらのタスクはタスクリストに追加され、追跡や管理ができるようになります。 

不明な点がある場合は、ミーティングのスマートレコーディングを確認してください。ミーティングの録画では、議論のトピックごとに簡単に移動できます。

次のステップへスムーズに着手するには、[Docs]タブに移動して、[ミーティングから作成]をクリックします。AI Companionにより、ミーティングの文字起こしと要約をもとにプロジェクト概要やブログ投稿などのたたき台となるドキュメントが生成されます。さらに時間を節約したい場合は、Workflow Automationツールでこのステップを自動化できます。これにより、ミーティング要約をZoom Docに自動的に取り込むワークフローを設定できます。


8.同僚へのキャッチアップをサポート

ミーティングに参加できなかった同僚は、AI Companionのミーティング要約で簡単に内容を把握できます。継続的ミーティングチャットを有効にしていれば、チャット内にミーティング要約が表示されます。また、設定を変更して予定参加者のメールに送信することもできます。 

出席者は、カレンダーのミーティングの招待をクリックしてアクセスできるミーティングカードで、すべてのミーティングファイル、要約、およびレコーディングを1か所で確認できます。

また、ミーティング要約、レコーディング、ホワイトボード、ドキュメント、クリップを整理するための中心的な場所であるZoom Hubで、Zoomアセットを見つけることもできます。

I've been encountering some customers who want to get more out of Zoom Workplace, so I thought of sharing this tool that might be of interest.

 

Many of us know Zoom for virtual meetings, but its powerful features can also enhance your in-person gatherings. Picture a lively brainstorming session: ideas are flowing and key decisions are being made. Can you remember every single detail a week later? Probably not.

 

This is where recording with Zoom comes in. It's like having a perfect memory for your meeting, capturing all the valuable discussion points and decisions. This simple tool ensures your team can easily review what was said, get new members up to speed, and keep everyone aligned.


Using Voice Recorder with AI Companion

To make this even easier, Voice Recorder can be used with AI Companion. It records your in-person conversation and then automatically generates a transcript and summary. This gives you a written and audio record of what was said, which is great for documentation, training, or just quickly referencing key details.


Before you begin, always make sure you follow all applicable laws when recording conversations. The first time you start recording, an on-screen prompt will appear with instructions to guide you.

How to Record an Ad Hoc Event

Follow these simple steps to start a new recording with the Zoom mobile app:

  1. Sign in to the Zoom mobile app.

  2. Tap the Record button.

  3. If a verification dialog appears, tap OK.

  4. The recording will start right away, unless you have an upcoming calendar event.

  5. If you do have a scheduled event, you'll be prompted to choose between it or a new recording. Simply tap New recording, then Start recording.
