Recently, I had an enlightening conversation with one of our valued customers. They were grappling with a common issue: their team was spending more time on mundane tasks like record-keeping and documentation than on meaningful customer interactions. 📉

Planning events can be a complicated and stressful process, especially when it comes to coordinating with a large group of people. Fortunately, with the help of technology, there are tools that can make the process smoother. One tool that comes to mind is Zoom Notes. 

 

Many still prefer the old fashion way of writing. I am a big writer myself, but I am now embracing the change after one of my customers shared how efficient she became after incorporating the use of Zoom Notes in planning their company events. During a business review with one of my customers, who is part of a non-profit organization, she shared that they organize events once in a while, and conduct fund-raising events. She expressed that she finds Zoom Notes a valuable tool for event planning as she's able to manage it anywhere, share it with peers, and have one place to access her notes. Below are some key takeaways from the conversation with her about how she neatly plans their events using Zoom Notes. 

 

  • Collaborative brainstorming: Brainstorming is an essential part of event planning, and Zoom notes make it easy to collaborate and share ideas. Zoom Notes can be shared to internal and external contacts so all team members can write down their ideas in the shared notes, and others can add their own comments and suggestions. It's easier to  communicate between team members, eliminating the need for separate chat or messaging platforms as the people whom you shared the notes to can access it anytime.
  • Personalized space: You can add images and links for a more personalized touch. You can add logos, event banners, links to resources, or even an image of a map's QR code to show where an event will take place.    
  • Agendas and action items: Keeping track of what needs to be discussed and what tasks need to be completed can be challenging. Zoom notes make it easy to create a meeting agenda as you can do it in advance and keep track of action items by making use of the "checklist" feature.
  • Meeting minutes: After a meeting, it can be challenging to remember everything that was discussed. Zoom notes can be used to create meeting minutes, ensuring all important points are captured and can be referred to later. You can use it before the meeting, while in a meeting, or even outside the meeting.  

Overall, Zoom notes can be a valuable tool even for event planners, as it makes it easier to collaborate, share ideas, and stay organized. By utilizing this feature, event planning teams can ensure that everyone is on the same page, and the event runs smoothly.

I teach a business course to college students, and I wanted to show an excerpt from the video "House of Games," which is on Amazon. When I tried to show the video, the sound came through but the screen didn't. However, when I've shown YouTube material it came through. my Czur document share I working fine, and I checked my Mac camera and its working fine too.

I haven't touched on Scheduling Privilege in a while, but it came up twice during my recent Business Reviews, proving its significance in resolving ongoing customer issues.

 

Scheduling privilege is designed for a user or an executive admin to:

  • Assign or delegate a user or multiple users in your account to schedule meetings on your behalf. 
  • Schedule meetings on behalf of a user (or multiple users) that has assigned you scheduling privilege. If both users have a webinar license, they can also schedule webinars for you.
  • Access cloud recordings and meeting reports for those you are a delegate for. 
  • Act as an alternative host for any meetings you have scheduling privilege for. 

This allows for more productivity and flexibility for teams that schedule meetings for each other. 

 

In one instance, an admin from a law firm shared a common pain point: scheduling meetings when a paralegal is unavailable. Previously, their paralegals manually checked the attorney's calendar, scheduled meetings, and invited participants, resulting in the paralegal's name appearing as the host instead of the attorney's which causes confusion. With this, I discussed how Scheduling Privilege works and showed how to assign a user the privilege and schedule meetings for others. They were not aware that this feature exists so the admin was very happy to learn about this solution which can definitely streamline their workflows.

 

In another case, an IT professional highlighted issues with the Meeting Summary feature, initially presumed to be a technical glitch requiring support intervention. However, upon further investigation, it was revealed that the inconsistency in Meeting Summary functionality was linked to Scheduling Privilege. The user scheduling the meeting on behalf of the host lacked the necessary delegation, preventing the host from receiving the recap. I helped the admin make the necessary changes and the customer was relieved to know that the resolution was a straightforward implementation of Scheduling Privilege.

 

These examples underscore the importance of keeping our clients informed about powerful features like Scheduling Privilege, showcasing our commitment to addressing their unique needs and providing effective solutions. As we move forward, let's continue to leverage such features to empower our users and enhance their overall experience with our platform.

Recreate the feel of your class or conference room by placing up to 25 video participants onto a single virtual background with Immersive View.

Participants are automatically placed onto provided scenes and the host can adjust the arrangements as needed. The host can also use their own custom background for a unique scene. While this does not require use of the Virtual Background feature, it does work best when everyone has this functionality.

When used in a webinar, the host and panelists will be placed together onto the virtual background, while attendees view the scene.
