Creating an inclusive meeting environment ensures everyone—regardless of ability—can participate fully and comfortably. Here are some practical tips to make your Zoom meetings more accessible and engaging:

🌟 Before the Meeting

  • Share materials early: Send out agendas, slides, or documents ahead of time in accessible formats (e.g., tagged PDFs, readable text documents).
  • Ask about accessibility needs: Encourage participants to share their preferred communication methods or any accommodations they may require.
  • Enable accessibility features: Turn on closed captioning or assign a captioner so everyone can follow along easily.

💬 During the Meeting

  • Use clear audio and visuals: Speak clearly, avoid talking over others, and ensure your microphone and camera are of good quality.
  • Describe visual content: If you share slides or show something on screen, briefly describe key visuals for participants who may have low vision.
  • Pin or spotlight speakers as needed: This can help participants who rely on lip reading or visual cues.
  • Use chat mindfully: Summarize key chat points verbally to ensure no one misses important information.

After the Meeting

  • Provide recordings and transcripts: Share the meeting recording with captions or a transcript for those who couldn’t attend live.
  • Invite feedback: Ask participants how the meeting accessibility could be improved for next time.

By making these small adjustments, you can create a more welcoming and productive space for everyone to connect and contribute effectively.

Here are some Zoom features you can enable to make your meetings more inclusive and accessible for all participants:

🔧 Accessibility & Engagement Features to Enable

  • Closed Captioning / Live Transcription:
Turn on automatic captions or assign a captioner so participants can read along in real time.

  • Multi-language Captions:
Enable translated captions if your meeting includes participants who speak different languages.

  • Keyboard Shortcuts:
Remind participants that Zoom supports keyboard shortcuts for navigation, muting/unmuting, and raising hands—helpful for those using assistive technologies.

  • Screen Reader Alerts:
Ensure screen reader alerts are enabled so participants using screen readers receive notifications about chat messages, raised hands, or participant joins/leaves.

  • Pin or Spotlight Video:
Allow participants to pin or spotlight speakers, interpreters, or presenters for better visibility—especially useful for sign language interpretation.

  • Virtual Backgrounds and Avatars:
Encourage simple, high-contrast backgrounds to reduce visual distractions and improve focus on the speaker.

  • Waiting Room Customization:
Use clear, accessible text in the waiting room message to guide participants on what to expect before joining.

  • Reactions and Nonverbal Feedback:
Enable reactions (thumbs up, clapping, etc.) so participants can engage without interrupting the speaker.

  • Recording with Captions:
When recording, ensure captions are included so the playback remains accessible.

  • Chat and Q&A Options:
Keep chat open for written communication and enable Q&A features for structured participation, especially in larger meetings or webinars.

By enabling these features, you create a more inclusive environment where everyone—regardless of ability or communication preference—can participate fully and comfortably.

Participants Can’t Join My Zoom Meetings on Basic Plan—No Admin or Organization

Hi,
I have a personal Zoom account (Basic/free plan) and I’m the only user—there’s no admin or organization involved. Until this morning, everything worked fine, but now my meeting participants can’t join any meetings, even when I start a new meeting and share the correct Meeting ID and passcode.

Here’s what I’ve tried so far:

  • Scheduling new meetings (not using my Personal Meeting ID)
  • Double-checking the Meeting ID and passcode
  • Making sure the waiting room is off and no restrictions are set
  • Having participants try different devices and networks
  • Checking my account status and settings

Despite all this, participants still get errors and can’t join. I don’t see any alerts or issues on my Zoom profile, and I don’t have access to direct Zoom Support as a Basic user.

Is there anything else I can do to fix this, or could there be an issue with my account after downgrading from Pro to Basic? Any help would be appreciated!

Thank you!

I received a zoom invitation and when I click on the link, I am directed to a webpage that is telling me my zoom client is out of date and I need to update. A file downloads and when I install the file it does not resolve the issue. I have uninstalled and reinstalled zoom with the latest version, cleared my cache, and restarted my computer multiple times. At this point I have no idea what to do.  The interesting part is I am able to open other zoom invitations, so I am not sure if the issue is on my end or the invitation creator's end. Any help is appreciated. Thank you.

[feature request] co-host action logging; more precise moderation tools, logging

hello

zoom needs finer grained moderation tools. there needs to be a log accessible to co-hosts that logs which co-host muted a user, banned a user and so on. basically logging any action a co-host can undertake.

best regards

Hi All,

In a recent update, I noticed that I can no longer toggle the original sound for musicians option on the top of the main screen.  I can change it completely in audio settings, but that's a pain if I want to go back and forth during a meeting.  For instance, I teach piano over Zoom.  When I want to play something for a student, I turn original sound on.  But if I'm typing a student's notes, I don't want the clacking of the keyboard to be heard.  So before, it was really easy to toggle on the main screen.  Now it seems you can only change it in audio settings.

Anyone else having an issue with this or has found a solution like a shortcut?

Thanks.

Hello,

unfortunately, I have another question:

I work with two screens. The program that needs to be recorded runs on the main screen, while I see the Zoom tools and the participant list/videos on the second monitor. However, when I record the session, the participant images are displayed in the recording and partially cover important information from the program being shown. How can I prevent this permanently?

I start Zoom on a MacBook Pro, Tahoe from the Zoom website.

Thank you very much for your help.

Hi!

I've been having some issues with zoom when I try to log in via SSO and join a meeting  - "The Code Execution cannot proceed because UIBase.dll was not found. Reinstalling the program may fix this problem" I get the same error for CMMlib.dll, Duilib.dll, and MSAALib.dll. I have tried using Clean zoom to uninstall and reinstall zoom, used the MSI installer, and also can see all of these files in the zoom folder, so they definitely exist. Any advice much appreciated!

Hello,

I need help.

I got charged on my credit card $367.82 from Zoom. but I didn't have even an account in Zoom at that time.

It was an unauthorized payment.

I have tried to contact Zoom and create tickets 2 times about fraud payment. (27-5-2023 and another one at 04-6-2023)

They have specified a ticket system for this issue, meaning many people face the same problem.

I have waited that long but didn't get a single response from Zoom.

Does anyone know how to get a refund from them?

or nobody gets a response from them if create a ticket about unauthorized payment?

Please let me know what can I do.

Thank You
