I run simulive webinars and trainings where features evolve fast. Instead of re-recording entire sessions, I create short segments in Zoom Clips and combine only the parts I need for updated master videos. It's quicker, cleaner, and keeps content current.

My 10-Minute Workflow

  4. Pro tip: Enable cloud recordings in Zoom Clips to repurpose great demo moments from live sessions.

As someone who often jumps between multiple meetings, some scheduled, some totally ad hoc, I’ve always struggled with one thing: making sure I never miss the start of any meeting. Between managing calendar alerts, emails, and just the chaos of the day, it’s easy to lose track and join late.

 

That’s why I was really excited when I discovered Zoom’s Auto-Call feature.

 

How It Works For Me?

Once I enabled Auto-Call in my Zoom desktop app’s settings, I no longer had to worry about manually clicking the “Join” button or scrambling to find the meeting link. Instead, when a meeting I’m scheduled to attend starts, Zoom automatically calls me, and I get a prompt on my screen with options to Join or Decline the meeting.

If I’m ready, I simply tap Join and jump right in. If I’m tied up or running late, I can tap Decline — and a message will appear reminding me that if I’m running late, I can join the meeting anytime by clicking the invite link later.

What I Love Most?

 

  • It’s effortless: I don’t have to remember to click “Join” at the exact time.

  • The clear Join or Decline options let me decide in the moment if I can attend or need to catch up later.

  • The helpful reminder message about joining later if I’m running late is reassuring.

  • It works great for ad hoc meetings too — if I’m on the invite list and the meeting starts, Zoom calls me automatically.

  • No more missed or delayed starts means more productive conversations.

 

How To Get Started? 

If you’re like me and handle multiple meetings a day, I highly recommend trying out Auto-Call. Here’s how to enable it:

  1. Open the Zoom desktop app and click your profile picture.

  2. Go to Settings > General.

  3. Under the Auto-call section, toggle on “Automatically receive a call when a scheduled meeting starts.”

  4. Or, on your desktop client, go to General > Auto-Call (see image below).

I'm leading a project to roll out Zoom telephony across a UK Council. The Voice and Contact Centre deployment has gone like a dream and now we started to move on to pushing out the Email part of ZCC. However we have hit an issue. When an agent tries to look back through an email thread with a customer/resident, the emails in the thread are sometimes repeated and also mixed up in terms of the times they were sent. Has anyone here deployed the Email part of ZCC yet. Would you be willing to share your experience?

Customers using AI Companion in Zoom Workplace have three distinct deployment options available, where each involves different approaches to data processing and third-party AI models. Customers can reach out to Zoom support to understand their default deployment and to select their preferred AI Companion data processing option based upon their data residency preferences, compliance requirements and account availability.
 
No matter what deployment option a customer uses for AI Companion, Zoom's commitment to responsible AI remains. In line with these commitments to responsible AI, we do not use any customer audio, video, chat, screen sharing, attachments, or other communications-like customer content (such as poll results, whiteboard, and reactions) to train Zoom’s or its third-party artificial intelligence models. Your content is your content, and this applies to all of our AI Companion deployment options.

Keeping it close with ZMO: A fully Zoom-managed approach

 

If it's important to you to limit data processing to the Zoom Platform, Zoom-hosted Models Only (ZMO) is the option for you. Available AI features are powered solely by Zoom-hosted models running on infrastructure managed directly by Zoom. With ZMO, the AI models are hosted in the region where your account is provisioned and allows us to process the data in region within the Zoom trust boundary.
 
Available AI Companion features are powered by Zoom-hosted models running on infrastructure managed by Zoom. That means:
 
  • Content data used for AI Companion is processed within Zoom's infrastructure
  • Deployment aligns with data residency preferences for supported regions
 
ZMO is a good fit for highly regulated industries or customers with strict internal policies that still want to utilize AI capabilities to enable features like Meeting Summary.
 
However, because this approach does not use external model providers, AI Companion features that rely on third-party model providers are not available with this hosting option. Currently, AI Companion's ZMO deployment option supports a number of popular features, among them are Meeting summary, Team Chat Compose, Whiteboard and Docs content generation, and many others.

Utilizing Amazon Bedrock with ZM+: Enable a broader set of models in Region

 

For customers who want to use third-party models, but still want to keep AI model processing under Zoom's technical control, Zoom-hosted Models Plus (ZM+) offers a compelling solution.
 
This approach adds Anthropic’s large language models running on Amazon Bedrock to the Zoom-hosted models. Amazon Bedrock is a fully managed service provided through Zoom’s existing cloud services provider AWS. Importantly, Bedrock allows AI Companion to be powered by cutting-edge third-party models—such as those from Anthropic—without sending user content to those model providers.
 
In short:
 
  • AI Companion data processing remains
  • Utilizes trusted and familiar AWS infrastructure
  • Aligns with data residency preferences for supported regions
 
While ZM+ provides for an expanded set of AI models, not all AI Companion features are currently supported. For more information, see the “AI Companion Features” section of the AI Companion Security and Privacy Whitepaper.
 

For customers choosing to utilize Zoom's European infrastructure, ZM+ is the default AI Companion deployment option. To change to ZMO, please reach out to Zoom support or your account team. Customers hosted in regions beyond the U.S. or the EU, can access available AI Companion features through ZMO. We are currently in the process of rolling out ZM+ to more regions.

 

Bring your own data to customize your AI Companion

 

ZM+ has another advantage compared to ZMO as this option is now available with Custom AI Companion. This premium add-on for AI Companion powers the customization of AI Companion’s agents and skills to expand its knowledge for your organization. 

With Custom AI Companion paid add-on for Zoom Workplace plans, you can include information from your organizational data sources, including third-party applications, using Zoom AI Studio for expanded knowledge to help drive decisions, actions, and complete tasks.
 

Unleash the full power of Zoom AI Companion with federated AI and access to industry-leading models

 

For customers looking for the full experience with everything Zoom AI Companion has to offer, utilizing our federated AI approach is the right choice.

This approach comes in two flavors:
For customers provisioned on our global data cluster, we currently offer our full portfolio of AI models —from Zoom-hosted models to leading third-party AI model providers and services like Anthropic, OpenAI, and Perplexity.

Our federated AI approach:
 
  • supports the widest range of AI Companion features;
  • enables use of large language models from leading providers.
 
This option is perfect for organizations focused on innovation and performance who are comfortable with external model usage and AI Companion data being processed outside our trust boundary. And as with other approaches, inline with Zoom's commitment to responsible AI, we have implemented controls to ensure that customer content data is not used for training models. This includes use of features that require third-party AI providers.

For customers provisioned on our local data cluster, for example in Europe, we offer a combination of ZMO and ZM+ with additional models by OpenAI and Elvenlabs available for Zoom Contact Center. The communication with these models is done via API-Calls to data centers in the region.

Hello, Zoom Community! As a CSM, my goal is to help my clients get maximum value. So, when I hear a great success story, I have to share it!

I recently sat down with an IT Manager, for our Business Review. She's always under pressure to manage costs while keeping every employee productive. She told me the Zoom Workplace Dashboard has become her "new best friend."

She realized the Dashboard is more than a reporting tool, but it’s a living, breathing map of her company’s collaboration habits that turns chaos into clear, actionable steps.

 

She shared that the Dashboard’s true value is its ability to instantly answer the tough, strategic questions leadership always asks:

"Are we getting our money's worth?" The IT Admin can now instantly see the Adoption Rates for every product (Meetings, Phone, Team Chat, Whiteboard, Docs). If a specific team isn't using a feature they're licensed for, she knows exactly where to step in with targeted training before the renewal date hits.

"What’s actually breaking?" Instead of waiting for a flood of support tickets, she uses the System Health section to proactively spot network performance dips, identify problem conference rooms, or see if a specific geographic area is experiencing quality issues. She said it lets her be the hero who fixes a problem before anyone even complains!

"Is our investment in AI paying off?" She tracks usage of AI Companion features like meeting summaries and smart tasks. This data allows her to directly demonstrate the value of the latest innovation back to her leadership team.

 

Here’s the story that sealed the deal for me. A perfect example of strategic resource management:

She was challenged by their leadership to find ways to maximize their total investment across the entire Zoom portfolio. She needed to ensure every dollar spent was driving growth and productivity.

She drilled into the Zoom Phone Usage metrics on the Dashboard and identified 36 licenses with zero usage (no calls or texts) in the last 90 days. These were valid licenses that had been provisioned for former seasonal staff or employees who had transitioned to non-phone roles. The Dashboard showed her the exact users and this gave her the data and the idea to reallocate those 36 unutilized Zoom Phone licenses. She converted some of it into Zoom Contact Center licenses for their busy Support team, who desperately needed the upgrade, and used the remaining value to invest in Zoom Rooms hardware for a new executive meeting space. She didn't just cut costs, she maximized her budget’s impact by ensuring every license was actively driving business value where it was needed most. She went from being asked to "manage expenses" to being praised for "optimizing organizational resources" across the entire Workplace ecosystem.

This is the power of the Zoom Workplace Dashboard! It empowers our admins to stop guessing, stop chasing technical ghosts, and start being the strategic voice of the technology.
