In today’s digital world, virtual meetings have become a fundamental part of business operations, education, and even personal communication. With Zoom leading the way as the best and preferred platform for communication, enabling seamless collaboration across the globe, ensuring meeting security isn’t just an option—it’s a necessity. But are we truly leveraging Zoom’s security features to their full potential?

Zoom offers several built-in security features to help users protect their meetings. The key is knowing how to configure and use these tools effectively. In this article, we’ll introduce the essential steps to ensure your Zoom meetings remain safe and secure.

1. Setting Up Secure Zoom Meetings

Enable Passcodes and Waiting Rooms

  • Set a meeting passcode to prevent unauthorized access.
  • Use the Waiting Room feature to manually approve attendees before they join.
  • Avoid sharing meeting links publicly—send them only to trusted participants.

Use Unique Meeting IDs

  • Generate a new random meeting ID for each session instead of using your Personal Meeting ID (PMI) to reduce the risk of unwanted guests.
  • For recurring internal meetings, set up a protected meeting link with controlled access.

Control Participant Permissions

  • Limit screen sharing to the host or designated participants.
  • Disable file transfer and chat for external participants to prevent malicious links.
  • Turn off 'Join Before Host' to prevent anyone from entering before you do.

2. Enhancing Account Security

Enable Two-Factor Authentication (2FA)

Two-factor authentication adds an extra layer of protection to your Zoom account, preventing unauthorized logins even if your password is compromised.

Use Strong, Unique Passwords

Ensure your Zoom account is protected with a strong password and avoid reusing credentials from other accounts.

Regularly Update Zoom Software

Zoom frequently releases security patches to fix vulnerabilities. Keeping your app up to date ensures you benefit from the latest security improvements.

3. Monitoring and Managing Meeting Security

Lock Meetings After They Start

Once all expected participants have joined, lock the meeting to prevent additional attendees from joining unexpectedly.

Remove Disruptive Participants

If someone is causing disruptions, remove them immediately using Zoom’s Remove Participant feature. You can also disable participant rejoining for extra security.

Monitor Meeting Activity

Keep an eye on the participant list and enable Zoom’s security notifications to be alerted about potential risks.

Ensuring Zoom meeting security is a shared responsibility between hosts and participants. By implementing these essential security measures—from enabling passcodes and Waiting Rooms to monitoring participant activity—you can create a safe and secure virtual meeting environment.

As cyber threats continue to evolve, staying proactive with security settings will help protect your meetings from disruptions and data breaches. Here’s a good guide to take steps and action on securing your meetings and communicate with confidence! Happy Zooming!

I'm using Zoom with dual monitors.  I want to see gallery view on the larger, external monitor but it only shows speaker view on that monitor even when I have gallery view on the laptop monitor.  There must be a way to do it.  I saw a discussion about this where someone asked the same question and no one had answers.  Just other people  who have the same problem.

Greetings, I'm setting up online zoom classes where I teach yoga, dance and rejuvenation exercises...so need music in background while I'm talking sometimes. Im using a Lenova PC laptop for zoom meeting, Samsung a-50 Android smart phone for spotify playlist for music, Samson wireless earset system and Audio Box USB96 for mixer for best sound quality....and headset to hear participants on zoom.

I'm figuring the best way to set it up and connect it all...and need help. I'm not a tech person. I've have 2 dif tech guys  telling me dif ways to set it up. The new tech guy is coming over soon. He says the other guy set it up too complicated...theres a much easier way.

Then he said zoom isnt set up to both play music while talking at same time...and also be able to hear if client has question. He says he needs to download a new program on my computer to help with that. He said my computer wasnt allowing the new program and that hes working around it. Hes coming over later today in a few hours to finish up. I dont feel comfortable going outside zoom program to do it all. Theres got to be a way inside zoom to set it all up.

I find that hard to believe because I bet many people teaching zoom classes that have music, talk and hear clients in 1 one setup. The basic zoom chat bar doesnt handle this more complicated question.. Can anyone help Thanks

When I am hosting a meeting and when I am participating in various meetings, I try to screen share in Zoom, it automatically goes to a black screen and says screen share is paused.

I don't know how to unpause it.

I checked in my account and I everything is toggled correctly.

I have also, uninstalled Zoom and re-installed.

Nothing seems to be working.

Any suggestions?

Hello! I recently began to use zoom to schedule meetings regularly, but I have noticed that when typing in the 'attendee' field to schedule a meeting, there's no option to just choose from my actual contacts list or autofill. Given how often we hold the meetings and the amount of people, it's a bit tedious to copy/paste each individual email address.

Given how common a feature autofilling contacts is, how do I do this on my Zoom account?

I already have contacts saved in my personal contacts list, but that doesn't seem to do anything.

I'm experiencing an issue where my Zoom meeting window closes immediately when I start a meeting. Additionally, when I open Zoom settings and navigate to the Audio tab, the settings window also closes automatically.

My audio is working properly on other platforms such as Discord and WhatsApp calls, so this seems to be an issue specific to Zoom.

Steps to Reproduce:

  1. Open Zoom and start a new meeting → The meeting window closes immediately.
  2. Open Zoom settings and go to the Audio tab → The settings window closes immediately.

Troubleshooting Steps I've Tried:

  • Restarted my computer
  • Reinstalled Zoom (latest version)
  • Checked for any conflicting applications
  • Updated my audio drivers

System Information:

  • OS: (Windows 11 Pro,  Build: 26100.3323)
  • Zoom Version: (6.3.11 (60501))

In a previous version, when you were sharing computer audio only, the "stop sharing" red button was still available on the floating toolbar. Now, when sharing audio, there is no toolbar and the only way I have found to stop sharing my audio is by having to share something else, which is a very clunky and unprofessional workaround. Am I missing something?

AI Summaries became short

AI Summaries used to have: Next Steps, Summary and then more details on every topic. Now I only get next Steps and a small Summary. Where did the details go?
