Sending Webinar Registration Confirmation Emails

I'm getting quite frustrated. I don't see a clear option in Zoom webinar where I can send ALL Zoom webinar registrants their confirmation email at once. The only clear option I'm seeing is in Zoom webinar going to Invitations > Manage Attendees > Edit > Registration List and checked the Registrants box at the top. This seems to only send the confirmation email to those names on each individual page within the Registrant List. And then you have to wait 60 seconds in between sends. 

 

This is incredibly frustrating as my office hosts webinars with 500+ registrants meaning we get over 25+ pages. I want to ensure registrants get their confirmation emails at the top of their inbox the day of our webinars, but i can't realistically spend an hour resending confirmation emails. I tried to highlight the registrants on each page but it looks as though each time i click a new page it clears out my previous selection, still only allowing 15 emails to be sent at a time.

 

Is there any way I can send all confirmation emails at once instead of waiting to go through page by page in the Registrant list?

New & converted webinar link does not redirect to old zoom meeting link

I converted a meeting to a webinar. All documentation and Zoom chatbot say the link changes but redirects - when it doesn't! I've sent an email inviting people with the zoom link, and now anyone who tries to access it is getting 404 as it converted the meeting to webinar and changed the link. What can be done so anyone clicking on the old link will be redirected to the new one?

Can an email be sent to hosts when someone registers for any date in a webinar series?

We can click into each event to see the registrants, but I would like to know if we can surface those insights to the webinar host without a manual report pull.

 

 We’re trying to track who joins and attends per webinar session.

Resolved! "Add to calendar" post webinar registration

Currently, after someone registers for a webinar, they have to check their email for a confirmation to "add to calendar". It would be better if it was on the page right after they submit their info... instead of having to go to their email. Am I miss... Show more

Currently, after someone registers for a webinar, they have to check their email for a confirmation to "add to calendar". It would be better if it was on the page right after they submit their info... instead of having to go to their email. Am I missing something? If not, how do I submit a feature request? Thanks!

Accessing Webinar RSVPs

We have one user (K) with the "Webinar" license in our organization. They were recently on leave, during which time we moved the "Webinar" license to a different staffer (S), who set up a couple of recurring webinars. The usual webinar host returned, and we returned the license to them.  Because we hadn't set them up as a co-host while our interim host was holding the license, the usual host could not start the webinar. And because they no longer held the webinar license, the interim host could not start the webinar. This part all makes sense.  

 

The part that we're stuck on is this:

  • Many had RSVPd for a Webinar on Monday that had been set up by the interim host -- we weren't able to start it because of the issue described above. We'd like to contact those people to apologize, but we don't can't access the RSVP list anywhere. 
  • With the Webinar license restored to the interim host, we can see upcoming webinars, but we cannot see previous webinars -- the "Previous" tab says "You do not have any previous webinars."
  • I've looked around in the "reports" section, and I don't see any reports that would give us RSVPs for past webinars. 

Is there any way for us to access the RSVP list for a past webinar that we weren't able to launch?

Currently I am running into some issues scaling our current events model, we have now upgraded to Zoom events in order to move our events from being ~100 to 300-500 people. I do a lot of backend work and pre-assigning, which I am still okay doing, but since we are now scaling the events to include more groups and projects, things are more complicated. 

 

Our events involve multiple different tracks - individuals moving from a session with everyone, to a meeting with a portion of everyone, and then moving to an even smaller portion of everyone, and then moving back to their larger portion of everyone, and then finally moving back to everyone (please see event schedule below for more context).

 

 

To make things more difficult, attendees are not currently registering through Zoom. While I think that will be the best option for us to avoid logistical issues, I am not sure I am going to get the sign-off on moving all registrations to be done through Zoom events. If there is any chance of me getting sign-off on moving all registrations to Zoom events, then I am going to need to make a strong case and will have needed to explore every other route.

 

  • I am running into issues deciding whether to make each portion of the event schedule its own session OR making "group #" sessions and breakout rooms within those sessions for each "group project".
  • I want to make it as easy as possible for attendees to navigate the event and I only want people to be able to access the sessions/rooms/meetings they are supposed to be in. 
  • Need to pre-register attendees myself and assign them tickets/tracks/breakout rooms, what is the best way to do that?
  • How do I send out an invitation from Zoom or a calendar invite with a Zoom link to join that is specific to each person and the track they are supposed to be on?
  • We can have facilitators in each session/room if needed

 

I am so nervous about things going smoothly and trying to make everyone happy. Any insight/advice/knowledge is greatly appreciated! Thank you!

We hold a meeting 5x per year.  Meeting invites are sent to our mailing list via Mailchimp.  We also produce flyers to encourage those not on our mailing list to attend.  We also post the flyer on Facebook and Instagram.  Over the last 5 years of hosting these events, we have never had more than 100 people register.  For our February event we have over 350 "people" register.  Our audience is typically those that reside in the SF Bay Area.  I suspect that many of these "people" are not real because 117 of them registered BEFORE we advertised the meeting and many of them are from outside California - plus a few from outside the United States. 

 

I think that there is a glitch in Zoom's system but cannot speak with a live support person.  I have gone back and forth with service tickets - but that process has not been helpful.  I also noticed that previous meetings of this type are no longer available in the past meetings view (other past meetings do show up).  Finally, I am unable to obtain a report of the registrations.  My request returns a "no data" when clearly with over 350 people registered there should be data to report.

 

The event is Sat Feb 17th any ideas/help will be greatly appreciated.

Multiple Confirmation Emails Being Sent for Webinar

When people registered for our webinar they received 3 confirmation emails immediately via zoom.  Any experience with this and why?  Registration page is via a HS integration

We had an issue last week where 3 of our attendees clicked on their personalised link they received in their email upon registering for the session and were taken through as Panelists with their video on? Has anyone experienced any issues with this? The Webinar was set up from a template that we've used MANY times and never had any issues with and then for some reason, 3 different people popped up on camera as Admin with their video on instead of as an Attendee with no video capability? Funnily enough is that the Admin setting was also set to have Video turned off upon joining and only Panelists can have their video's on?

I have an issue with preregistration emails from Zoom Events. The Join and View Event links that are available to be added to the preregistration email are not working. Instead of using the join link for the preregistered attendee, they are pointing generically to https://zoom.us/

 

I see nothing anywhere in the settings where I can edit this. I also can't find any articles that cover this situation. Thoughts?
