Delegation calls: disable ringing on Mobile App Only

We are about a month away from go-live with Zoom phone. In our testing we’ve found that delegation calls with ring all of the delegatee’s devices, including their mobile phone apps. Has anyone found a way to limit this? My concern is bosses lines ringing on their assistants cell phones at all times, including lunch breaks, after-hours and weekends.

Thank you in advance!

Hello @PG-305

Maybe you have read this article already, but I will include it nonetheless just in case:

https://support.zoom.com/hc/en/article?id=zm_kb&sysparm_article=KB0067483

The "Delegate" has the option of Opt-in/Opt-out receiving calls from the "Delegator", assuming the "Delegator" granted that capability grating the delegation; according to the documentation, there should be checkmark for the delegated line privileges given to the delegate (Look at the document for Opt-In/Op-Out and "Delegation Privileges

It is done through the Opt -in/Opt-outZoom Portal. If I am not mistaken, these settings are per line to it can be setup on a per Delegator's Line basis in case the Delegate is covering more than one.

I hope this helps, and if so, please mar it as (Accept as Solution).

Hi @Vinnie

Thank you for that article. That does help a lot. I was wondering though if I could get a little more granular with it and see if it's possible to disable the delegate calls coming through only on the Mobile app.

I'll add some more context also. No one will be using the PC softphone client for phone use; all of our users will be using Yealink desk phones. Some of our users do like to have the mobile app on their phones as a backup method, but only to answer their own lines.

Thanks!

hi @PG-305

in the same zoom support article that @Vinnie mentioned, there is a setting concerning override business hours:

Under Delegation Privileges, use the checkboxes to change the privileges:
Delegation Privileges
Place Calls: The delegate can make calls on your behalf using any of your direct phone numbers.
Answer Calls: The delegate can answer calls on your behalf. They will receive call notifications for inbound calls to your direct phone numbers.
Join and Merge Calls: This privilege is a two-way permission between the delegator and delegate(s).
Notes:
This setting must be enabled by Zoom.
A shared line appearance cannot be selected for monitoring when the Join Calls option is enabled. You must disable the delegate privilege before adding monitoring capabilities.
Opt In/Out: This option allows delegates to opt in/out from receiving calls. Delegates must be on Zoom app version 5.16.2 or later.
Note: This privilege is dependent on the Answer Calls privilege and cannot be enabled unless the Answer Calls privilege is enabled.
Pick Up Hold Calls: You can transfer calls to the delegate by placing the call on hold and informing the delegate to answer the call.
Override Business Hours: Allow delegates' business hours to override your business hours. Delegates won’t receive calls outside their own business hours. This will apply to both regular and VIP delegation.
Note: If enabled, the delegate will automatically opt out from receiving the delegator's calls after the delegate's business hours. Calls will then be directed to another assistant or the delegator's voicemail if no other assistants are configured.

the delegate's business can override the delagator's business hours.

thanks,  eliot

There are 2 factors in play here:

1) Opt-in/Opt-out is to disable receiving calls from the "Delegate", and that will everywhere, Desktop, Mobile, Appliance, External, etc.; this is done through the Zoom Phone portal and it can be done before going to Lunch (Opt-out), at Coming back from Lunch and Beginning of the Day (Opt-in). the end o the day (Opt-out)

2) Enable calls on Zoom Mobile App, is for the whole Zoom Client and it is not on a per-line basis as far as I know.

The important thing (from I can see in the documentation) is that the "Delegate", when setting up the " Delegation", allows for the (Opt-in/Opt-out) option. this is not something I have tested my self to provide screenshots or more details, but what I am proposing you to try to verify if is a good-enough solution for your need.

Vinnie.
