Mac support for calendar integration

Does anyone know if its possible to use iCalendar/Mac Calendar with Zoom to schedule/show meetings?  We have the desktop app but our email is not hosted by Outlook or Google.  It appears that Zoom only supports Exchange and Google for these integrations.

Anyone at Zoom reading this - will there ever be  Apple support for mail/calendar?

Hi @Derek5

The solution that I am speaking of is not in the web version of the Zoom client. It is on the app version on a PC or Mac. If you go to the home tab and then click on the blue schedule button you will see an option to schedule your meeting using iCal.

I hope that this is helpful. Let me know if there is anything further that I can do to assist you.

@pankon you may have figured this out already, but a few versions back the Zoom team made a lot of changes to the UI and backend so now the event notice in iCal on Mac takes a long time to show up.  But it should come through if your email used in Zoom is also one of the accounts in iCal.  Again, it takes a while.

I "Schedule" meetings from the Zoom desktop Home tab and I get the option of sending the invitation.  I don't know how the Zoom website works.

Zoom deskyop Version = 6.4.3

Macbook Pro version = 15.3.2

@pankon I posted this response already but cannot find it so I am potentially double posting.  Sorry, everyone.

You may have noticed that the Zoom team changed a lot of the UI in the last year (or so).  Now the meeting invitations take a long time to show up in iCal on a Mac.  If you schedule using the Zoom desktop app, invite the people you want to attend and you use the same email address for Zoom that you have as one of your iCal accounts, it should work.  I use Mac Outlook with corporate Gmail accounts connected (not Exchange) and my iCal accounts are also set to the Gmail accounts.

You may have to find the "Add Invite" in the schedule pop-up box (not always easy to see).  Also, you will have to copy & paste or manually type in any email address that is NOT part of your Zoom license as Zoom does not seem to use your Mac Address Book, previous invitations on iCal, or Outlook contacts.

I suspect Apple Mail would also work but a way to test it would be to include yourself in the email list on the Zoom invite to see if you get the email invitation too.   I tested this with my setup and I had to refresh my iCal after getting the email to myself and waiting 1 minute.  Once I refreshed, it showed up without me having to accept the email invitation.

Zoom Desktop V 6.4.3

iOS v 15.3.2

iCal v 15.0

Strange, everything worked fine a few months ago, and now even the somewhat cumbersome calendar integration has completely stopped. Now they want to force me to create an appointment in Zoom and subscribe to the calendar. No, I don't want to, I want it to be simple and straightforward.

For me, this means I'm going to say goodbye to Zoom and give TEAMS a real chance.
That's what happens when you patronize your users.

After you schedule the meeting, and put in the recipients to the invitation, you can scroll to the bottom of the "New Event" window, and you should see a checkbox to use an external calendar.  Check that.  Then you should see a popup for iCal.  You may have to check the box for "More options".  At least, this works for me.

The problem isn't ical - it's that the Zoom Workplace App itself on my Mac no longer shows the upcoming meetings...and it says that's because my external calendar (exchange/google/office365) isn't connected. But the zoom app should get its calendar from the zoom web, which DOES show the upcoming meetings.  IT did for years but stopped a few months ago

update:

So, here is what I do.

First, I tell people to use calendly.com to schedule meetings with me. But many don’t want to do that. So, …

When I create a zoom calendar entry, I invite myself, using my default email address. When I receive that email from my default account, I can click on the invitation, and add it to my default calendar (I use iCloud.com by default). Next, by opening that newly added calendar invitation from my calendar, I can use that invitation to invite other people.

It all seems to work out, and it’s totally under my control, so I don’t need to rely on Zoom for calendar integration.

I am using Zoom Workplace 6.4.6 (the current version today). In the past, I used the "External Calendar" feature, which -when I selected 'ical'- would automatically create the respective calendar entry on my Apple Calendar. Now "External Calendar" is not available anymore. And similarly I have not found a way to download an .ics file locally.

Am I missing something?

Choose "other calendars" then choose "open" after creation and it will prompt to save to your Mac Calendar'

Hello community members,

We do apologize for the inconvenience and appreciate your patience.

While the “iCal” option is still visible in the Zoom macOS desktop app, we want to clarify that this feature has never been fully supported by Zoom. Although it may have worked for some users in the past, recent updates to Zoom and macOS have introduced inconsistencies with its functionality.

Because of this, our backend team is actively working on developing a fully supported integration to ensure a more reliable and seamless experience moving forward. We’ll be sure to share more details as soon as we have updates available.

In the meantime, we recommend using one of our fully supported calendar integrations—Google Calendar, Office 365, or Exchange—for the most consistent performance.

Thanks again for your understanding and for choosing Zoom.

Is there any update to this?

I found this message thread because someone invited me to a Zoom meeting and it only showed up on the Zoom app not in my email and not on my calendar on the Mac.

How is this issue which has existed for so many years without a solution, helpful for users?

I'm sure there's some "valid" reason but I don't understand why there can't be a URL for my Zoom calendar that I can subscribe to in my calendar app. I have no intention of giving Zoom or any other application complete access to my local calendar with all my information and all my contacts.

Adding an intermediate calendar for Google or office or exchange is a convoluted unnecessary confusion laden approach.

Sorry if this is a rant. I just don't understand why it's so confusing and difficult....
