Chat Function in Zoom

We are in a meeting and having technical issues with the Chat function. It will not let the host message the waiting room and we have guests in the meeting today

If the host cannot send a message to the waiting room during a Zoom meeting, even though participants are in the meeting and guests are in the waiting room, here’s what could be causing the issue and how to fix it right now:

Possible Reasons & Fixes

1. Chat to Waiting Room Not Enabled in Settings

By default, Zoom does not allow messaging the waiting room unless this feature is turned on in Zoom's web portal settings.

  • Fix:
    1. Go to zoom.us and sign in as the host.
    2. Navigate to:
      • Settings > Meeting > In Meeting (Advanced)
    3. Scroll to "Chat with participants in the waiting room".
    4. Toggle it ON.

Note: This setting must be enabled before the meeting starts, it cannot be turned on during an active meeting.

2. Zoom Client Version Too Old

Older Zoom versions may not support full waiting room chat functionality.

  • Fix:
    • Update your Zoom client to the latest version:
      In Zoom app: Click your profile photo → Check for Updates

3. Waiting Room Message Sent Incorrectly

Sometimes hosts try to chat with the waiting room the same way they message in-meeting participants.

  • Fix:
    • Open Participants panel.
    • Hover over the Waiting Room group and click “Message” (or "Chat").
    • A special chat box for the waiting room will open, separate from regular chat.

4. You're Messaging the Meeting, Not the Waiting Room

Ensure you're not trying to use the main chat window, which does not allow messages to the waiting room.

  • Fix:

You must use the "Message" link next to the waiting room in the Participants panel.
