Is there a way to send a confirmation email to registrants that I upload with a csv who I do not want to receive an invitation as they were invited in a different way.

Yes, you can send a confirmation email to registrants without sending the standard invitation, but it requires careful use of Zoom Webinar’s registration and email settings. Here’s how it works:

 

When you upload registrants via a CSV to a Zoom Webinar:

  • By default, Zoom sends an automated invitation email with the join link.
  • However, sometimes you want to notify registrants with a custom confirmation instead of the standard Zoom invite (for example, if they were invited through another method).

     

    Option 1: Disable the Default Registration Confirmation Email

    1. Go to Zoom Web Portal → Webinars → [Select Webinar] → Registration
    2. Scroll to Email Settings → Registrant Confirmation Email.
    3. Uncheck:
      • “Send email to registrants when the registration is approved”

        This prevents Zoom from sending the default invitation email.

        Note: This applies to both manual approvals and CSV uploads, so Zoom won’t send the standard join link automatically.

         

        Option 2: Send a Custom Confirmation Email Manually

        After disabling the default email, you can:

        1. Download the registrant list from Zoom (or note who you uploaded).
        2. Send a custom email from your own system (Outlook, Gmail, or marketing automation tool) to confirm registration.
        3. Include either:
          • The join link (you can copy the webinar join link from Zoom)
          • Any other instructions you want the registrants to have

            This way, you control the messaging and avoid duplication of invitations.

             

            Option 3: Use CSV Upload with “Do Not Email” Option (If Available)

            • Some versions of Zoom allow you to upload registrants without sending the automatic invitation.
            • In this case, there’s usually a checkbox during the CSV import that says something like “Do not send invitation emails”.
            • If your version supports it, this is the simplest approach.
