Errors in follow up Attendee emails in webinars

Recently we noticed that the follow up email for webinars attendees does not reflect the updates made. 

We conduct many webinars and update the follow up email for attendees. Recently we found that even though the preview email sent to myself is updated, the email that attendees receive does not reflect the changes and is outdated. This is a major concern for us and generates misinformation among our attendees because, for example, we tell them in the webinar that they will receive certain information, change the follow up email to include it, verify the changes with a preview email sent to myself BUT then attendees do not receive the information. 

Please, what can be done to correct this terrible malfunction?

    Hi ​@SandraMRP,

    Thank you for reaching out. To correct this, check the webinar’s attendee follow-up email configuration and make sure the changes are saved on the actual webinar email template, not only reflected in the preview.

     

    Steps to verify:

    1. Sign in to the Zoom web portal.
    2. Go to Webinars.
    3. Open the specific webinar.
    4. Go to the email settings for that webinar.
    5. Find the Follow-up email to attendees section.
    6. Edit the attendee follow-up email content.
    7. Save the changes.
    8. Send yourself another preview to confirm.
    9. Reopen the webinar email settings after saving to confirm the edited text is still there.

     

    A few important checks:

    • Make sure you are editing Follow-up email to attendees, not a different email type such as registrant confirmation or absent attendee follow-up.
    • If the webinar is recurring, confirm you are editing the correct webinar/occurrence.
    • If your account uses admin-managed email templates, confirm the account-level template is not overriding or conflicting with the webinar-level edits.
    • Make the edits before the follow-up email is scheduled to send. If the email has already been generated or queued, attendees may receive the earlier version.

     

    If attendees still receive outdated content after you confirm the correct template, occurrence, and saved changes, a practical workaround is to disable the automatic follow-up email for that webinar and send the corrected information manually to registrants/attendees using the exported attendee list.

    We have being doing points 1 to 9. We will pay more attention to the last 2 points you highlight as “important checks” because they may be the cause. We will me more careful in the future. If it happens again we will reach out.
