Automatic naming of zoom recordings (as same name as Google Calendar meeting)?

Hello all,

 

I'm on a paid corporate Zoom account. I would love to find a solution to this problem.

 

When I record a Zoom session or look up Zoom records of attendance, all my Zoom sessions are named the same (except for the date and time), in the following format:
YYYY-MM-DD HH.MM.SS [First Name Last Name] Personal Meeting Room [Meeting Room #]

 

But I need to provide audits of some Zoom recordings and this means I much go through the effort to download the record of attendance and manually edit each of the Zoom records with the actual name of each Zoom session.

 

What is frustrating is that Zoom knows the name of each session, as seen from the Zoom schedule, but both the Zoom recording and the Zoom attendance record as named using the aforementioned format. 

 

Is there any way to configure Zoom so it correctly records the Zoom session name?

I do see that you have a support ticket open with a member of our tech team and they are awaiting a reply to the latest response. 

 

It seems that after checking your account, they noticed that you schedule meetings using your PMI, which is the meeting ID of your personal meeting room. This is the reason why the name of the folders is always [First Name Last Name] Personal Meeting Room.


To prevent this from happening and have the meeting topic in the folder name, you would need to schedule meetings using a randomly generated ID, not the PMI.

User Story:


Isssue 1: Going into each meeting in a meeting series and having to autogenerate individual meeting links is

          1. Time consuming

           2. An invitation to mass confusion for those who attend a meeting regularly, giving them a different zoom meeting link for each meeting in the series.

 

Issue 2: Zoom recordings are not automatically complete upon meeting end. There is a need to wait for them to process for an unknown amount of time. This means we have to go back in to a list of what is currently "Personal Meeting Room" meetings and distinguish which recording is which by one of two methods:

       1. Watch a portion of the recording (too time-consuming)

       2. Open a calendar program showing past appointments and compare these. (cannot simply infer from the day/time on the list since there is no day of the week listed, so I can't look at say "this meeting happens every Wednesday, etc.)

 

Both issues create wasteful adminstrative tasks for meeting room owners.


User cases: The ability to have the meeting recording automatically named the same as the meeting is an essential time - saver to anyone who uses Zoom heavily for business.

       Use Case 1: Scheduling regularly occurring meetings (series) and creating consistent joining instructions for meeting attendees that can be repeatedly distributed and referenced throughout the meeting sequence.

        Use Case 2: Meeting presenters will not have to waste their time trying to distinguish one meeting series from another by means stated above.


Suggested Solution: Adding an additional item to the ellipses menu on the live meeting control bar allowing the meeting presenter to name the meeting. The meeting name would then carry over to the recording, saving us all hours of additional admin work. The meeting name might be passed via API or https to the recording database when the recording is stopped.

Alternate, simple solution that may involve less coding would be to list the day of the week in the meeting recordings list so we can surmise which recurring meeting it is.  Either one would be greatly appreciated. 

I also agree with this thread. I utilize the PMI as it saves time in creating meeting invites and sharing them. Or when having improtu sessions with a team member we want to record for notes. If Zoom were able to reference the calendar already integrated into the account, that would be very beneficial. I've mentioned something similar in support... if you record a meeting, many (almost everytime) I do this to share with someone else or reference later for notes. I have to wait until the meeting processes before I can rename, I have to wait to get the shareable link, and often times I'm already in my next meeting before it's done processing, meaning I'll have to go back and rewatch the videos to rename them, grab the link and share sometime later which wastes a lot of time for me and the person who's waiting to reference it for notes on specific action items. It would be nice to be able to rename the file, or have it autonamed from the corresponding calendar time, and grab the link to share immediately to be able to share. I guess there would have to be a "This video is still processing message" ifthe video link was accessed but the meta data for the name and the link should be able to process within success. Thx for reviewing and considering. 

@CarlaA The issue is still not resolved. We need the meeting name to be included in the MP4 download. How can we enable that? Could you outline simple steps? I do not understand what you mean by "using a randomly generated ID, not the PMI". Where can we set this?

Hi @djtechy   @Simpson , thank you for clarifying that you are referring to the MP4 file name.

 

I apologize for the misunderstanding. Zoom made these changes due to Personally Identifiable Information (PII) being shared via the recording file names. We are responsible to align with laws on privacy so we, unfortunately, had to make this change. I know this is not ideal, and this is not to say that this option can't be provided in some way in the future. For now, however, this is the new format for the file.

Thank you for your reply.  I hadn't considered the PII nor do I even want to contemplate the intricacies of international law. 

 

I'm just wondering that as the recordings appear in our Recording Management area with their given names would it be possible to ask the developers to enable us retain these as we download them?

 

I think only the account admin and the actual host have access to this area but of course the matter might be much more complex than I'm perceiving. It would really aid my organising of my archive.

Have you heard of Zoom AI Companion?

I would just like to see the meeting name in the recording information... I literally have 40 recordings right now that I have to edit, some multiple in a day. Teams will link to the calendar at least, but I get that's an MS0365 feature. I've recently switched to Zoom for a new job and I hate that ever recording is named the same thing. Given my choice, this alone would switch me back to MS Teams.

Zoom recordings in the cloud used to include, partially, the given name of the of session in the title but changed to the very unhelpful DateStamp[random number].mp4 format. Please can it be put back to the original or give us the option of retaining given file names?  Our Tutors are set to give tutorials weekly or fortnightly on their specialised subjects, this results in usually 30 meetings per week and I must download them ALL and store them for quality reasons. This helps with disputes between Students and Tutors.  As you can imagine my archive has grown quite significantly over the past 5 years and I would like a more efficient way of searching them in future. Perhaps by subject rather than date.

Agreed - there should be a simple way for the meeting presenter to name a meeting with the option of adding date and time to whatever meeting name has been given, and this name can be a more useful customised labels of recordings, particularly useful in scenarios such as above. It has been a while since the suggestion for this feature was made and until now not yet added - does Zoom really care for improving customer experiences?

Or, simply a unique custom metadata id that can be defined by the creator / or generated automatically if blank.  Then contain that field on the recording.

 

Then the recording, the meeting, and some outside system would be able to speak seamlessly.

Is there an update? We must share our recordings often; the processing time is very long. The ability to change the name of the recording right away would be super helpful.

I have the same issue.  Multiple professors recording office hours.  Need to post the videos to those hours each week.  Need an automated way to download and associate these many recordings with the specific class session.  I don't see anything in the Metadata that will allow me to do that.  I get PII, but I don't see how the meeting number is PII.  Simply putting the meeting ID in there would make at least some connection.  Right now I am needing to pay a human to go through every single file and manually take care of this.  Error prone and expensive.
