Understanding External Recording in Zoom Revenue Accelerator (ZRA)

 

External recording in Zoom Revenue Accelerator (ZRA) allows organizations to capture and analyze meetings that occur outside of Zoom—such as those hosted on Google Meet, Microsoft Teams, or other third‑party conferencing platforms. This feature ensures that customer‑facing conversations, regardless of where they take place, are automatically recorded, transcribed, and analyzed within ZRA for insights, coaching, and CRM synchronization.

 

How External Recording Works

 

When external recording is enabled, ZRA uses a recording bot that joins meetings as a participant. The bot records the session and uploads it to ZRA for processing. For this to work seamlessly, users must have their calendar integrated with Zoom (Google, Exchange, or Office 365). The integration allows ZRA to detect scheduled meetings and automatically trigger the recorder to join when external participants are present.

Admins can configure this feature at both the account and user levels:

  • Account Level:
  • Navigate to Account Management → Account Settings → Revenue Accelerator → External Recording Settings. Toggle Enable Recording to activate the feature for all users.
  • User Level:
  • Go to Personal → Settings → Revenue Accelerator → External Recording Settings and enable Automatic Recording for Scheduled Meetings. Users can choose to record all meetings or only those with external attendees.

 

When Manual Action Is Required

 

In most cases, the recorder joins automatically once calendar sync and auto‑recording are enabled. However, if automatic recording is disabled or the meeting is hosted by an external organization, the bot may not join on its own. In these scenarios, the host must manually invite the recorder by adding the designated recorder email (for example, recorder@zmail.com) to the meeting invite. This ensures the bot receives the calendar event and can join at the scheduled time.

 

Best Practices

 

  • Enable calendar and contacts integration for all users to ensure consistent auto‑recording.
  • Uncheck the “Only analyze meetings with external participants” option if internal meetings should also be captured.
  • Lock settings at the admin level to maintain consistency across the organization.
  • Regularly verify that recordings appear in ZRA and that transcripts are accessible via the API if integrated with CRM systems.

 

By properly configuring external recording, teams can ensure that every critical customer conversation—whether on Zoom or another platform—is captured, analyzed, and available for actionable insights within Zoom Revenue Accelerator.
