schedule a meeting in a Zoom Room by inviting the room to the meeting

We have a Zoom Room syncing with a Google shared resource calendar. We are interested in the functionality described in this article. “schedule a meeting in a Zoom Room by inviting the room to the meeting”. https://support.zoom.com/hc/en/article?id=zm_kb&sysparm_article=KB0064322 When a Zoom event is created in the Zoom software, it will sync with the calendar and display on the room controller, all good.  Whereas, events created by inviting the Google Calendar resource to a meeting, do not. Does this functionality work as described?

    Yes, the functionality should work as described: when you invite the Google Calendar resource (the Zoom Room) to a meeting, the event should appear on the Zoom Room controller. However, there are a few important considerations:

    • After creating or updating a Google Calendar resource, it can take up to 72 hours before it is fully available and synced with Zoom Rooms.
    • The calendar resource must be properly assigned and authorized for Zoom to access it.
    • If events created by inviting the Google Calendar resource do not display on the room controller, double-check that the resource is correctly integrated and that Zoom has the necessary permissions.

    If you have recently set up or changed the resource, please allow up to 72 hours for full synchronization. If the issue persists beyond that, review your calendar integration and sharing settings to ensure everything is configured correctly.

    Thank you for confirming that ​@aluyun. Our Zoom Room Google user is currently set up as a super admin, calendar integration is set up in the Zoom console and assigned to the Zoom room resource. Also, the Google user has “Making changes and manage sharing” access to the calendar resource. Testing shows that meetings created in the Zoom, sync to the Google calendar just not the other way around. We will try to engage Zoom support.

    @aluyun One additional clarifying question for you. When the Zoom Room is invited to a meeting. Does it reply with a meeting ID or just a room reservation?

    Hi ​@CloudyTown,

    When a Zoom Room is invited to a meeting, it does not reply with a meeting ID. Instead, it receives the reservation (calendar invite) and displays the meeting on its controller. You can then tap the meeting invite on the Zoom Room controller to join the meeting.

    We followed Zoom configuration documents and believe we have all settings in place to deliver the behavior described. Meetings propagate from the Zoom software to the Google calendar but not in reverse. When the Zoom Room resource is included in a calendar invite, no event is displayed on the Zoom Room meeting controller. We wanted to validate our configuration with Zoom support but our entitlement is basic so no human contact is provided. Zoom’s support AI doesn’t understand the issue. We are trying to find a Zoom support resource through our channel rep. So far, no luck. We would take any help offered.  Thank you.
