Question

Voicemail capacity and employee off-boarding

When we off-board an employee I am sometimes left with a voice mailbox containing hundreds of messages.  Typically they are marked as read so I assume that the messages have been resolved.  Is there any way to force messages be deleted?  A mailbox capacity limit would accomplish this but I don’t see that as an option.

Any other thoughts on how to encourage users to delete messages after they are no longer needed?
Can an admin see which users have a large number of messages in their mailbox short of granting themselves access to each mailbox and manually reviewing the contents in the Zoom desktop app?
Can we export the contents of a mailbox?

When off-boarding an employee don’t you delete their account?  That would ‘delete’ those voicemails.

Yes, but how do I know those VM messages have been resolved?  An empty mailbox or a mailbox with just a few messages should be easy to audit.  A mailbox with 100 messages - yes I can delete the account and move on but what if those customer requests were not resolved?

A few options worth checking:

For automatic cleanup, look in the admin portal under Account Settings for the Phone data retention settings. Zoom Phone lets admins set voicemails to delete automatically after a set number of days, which works like a capacity limit and also solves the off-boarding problem going forward.

For seeing who has large mailboxes and exporting messages, the Zoom Phone API is the easiest route. It can list voicemails per user and download the recordings, so a small script could report mailbox sizes across the account without opening each one manually.

For off-boarding specifically, some admins export the mailbox through the API first for records, then delete the user's phone license, which removes the voicemails with it.

Ah, now I understand.  Good on you for being concerned that all those voicemails were actually resolved.  That’s a tough one and you’ll probably need to work with supervisors.  Maybe in some cases the supervisor should receive transcripts of voicemails, though they still wouldn’t know if something was resolved.  Maybe voicemails get forwarded to a ticketing system that tracks the work and resolution?
