Confused about My Notes vs. My Files and missing transcripts - data loss?

Hi everyone,

I'm very confused about how Zoom Hub is supposed to work. 

My goal is simple: I just want to access the full word-for-word transcripts of my meetings.

 

For recent meetings, My Notes works as expected. As you can see in Screenshot 1, I get both the AI Summary and the full word-for-word transcript.

 

 

 

However, for older meetings, everything looks completely different. As shown in Screenshot 2, all meetings before May are empty and the transcript is unavailable.

 

 

 

In addition, as shown in Screenshot 3, I cannot scroll back any further than March 17. Everything before that seems to have disappeared.

 

 

Could someone please explain:

  1. What is the difference between My Notes and My Files in Zoom Hub?
  2. Are transcripts in My Notes automatically deleted after some time?
  3. Why can I no longer access meetings before March 17 (Screenshot 3) and why are some notes empty (Screenshot 2)
  4. How do I get access to all my transcripts?

 

Thanks! The transcripts are very important and I urgently need them for the past 1 year. I have nver downloaded it as I trusted in Zoom.

Can anyone help? The official zoom support unfortunately is very unhelpful and the case has been open for 3 weeks now :(

It sounds like you're looking in the right place. If a meeting only shows the AI Summary but not the full transcript, it's usually because cloud recording or audio transcription wasn't enabled for that meeting, or the transcript is still being processed.

I'd also recommend checking your Zoom account settings to make sure Audio Transcript and Smart Recording with AI Companion are enabled. If everything is configured correctly and newer meetings show transcripts while older ones don't, the older meetings may not have been recorded with transcription enabled.

Hopefully that helps narrow down the issue!

Thanks for your reply!

I always record my meetings locally on my PC, not to the Zoom cloud. However, this has never been a problem before—My Notes still generated full word-for-word transcripts for those meetings.

I also found the setting "Transcribe my meetings with My Notes", and it is enabled.

That's why I'm confused. Some meetings have the full transcript, while many older ones only show the summary or are completely empty, even though my setup hasn't changed.

 

Do you have any other ideas about what I could check or try? I'd really appreciate any suggestions.
