Zoom meeting invitations being sent automatically to participants without the organizer intentionally sending them

Hello,

We are currently experiencing an issue with Zoom meeting invitations being sent automatically to participants without the organizer intentionally sending them.

In our normal workflow, an employee creates a Zoom meeting only a few minutes before it starts and shares the meeting link directly with participants via another chat application (usually through a direct message). The organizer does not send email invitations and often does not even know the participants’ email addresses.

However, we have observed that email invitations are still being sent from Zoom to certain users as if the organizer sent them, sometimes including reminders and occasionally arriving after the meeting has already finished. The organizer did not add these email addresses when creating the meeting.

One possibility we are considering is that the Zoom account is linked to a Google account, which may have access to contacts or calendar data and could be automatically generating and sending these invitations.

Could you please help clarify the following:

  • Can a Zoom account linked to a Google account automatically send meeting invitations to contacts or calendar participants?

  • Is there a Zoom or Google Calendar setting that could cause invitations to be sent automatically without the organizer explicitly adding participants?

  • Is it recommended to unlink the Zoom account from the Google account to prevent this behavior, or is there a specific setting that can disable automatic invitation sending?

The employee currently has an active paid Zoom subscription for a few more weeks, so we would like to understand the correct configuration before making changes to the account.

    Hi ​@tod dot 

    It is normal practice to send outh the invites to people when meetings are setup with them
    If you add the attendees to the meeting then they will be invited.

    If you want to start a meeting, or shedeule a meeting and then send the invite link via chat without adding them to the meeting then they will not see any emails.

    Thank you for your previous explanation.

    We are aware of the standard behavior regarding meeting invitations, however we are still observing something unusual in our case. The invitations are being sent automatically, and in many instances they are only delivered when the meeting has already ended.

    We reviewed the Zoom settings and identified the “Upcoming meeting reminder” option, which we have now disabled. At this stage, we do not yet have confirmation whether this change has resolved the issue, but we are hoping it will.

    What makes this particularly concerning is that the organizer does not manually add participants and, in some cases, does not even know their email addresses. This raises the question of whether this behavior could be related to some automated process, integration, or possibly AI-driven functionality within Zoom or a connected service such as Google.

    Could you please clarify:

    Whether Zoom has any automated or AI-based features that could trigger sending invitations without explicit user action.

    If there are any integrations (e.g., Google account, calendar sync, contact access) that could cause invitations to be sent automatically.

    What configuration or steps are required to ensure that no email invitations are sent unless explicitly triggered by the organizer.

    Our goal is to fully prevent automatic invitation emails from being sent under any circumstances.
