Hello, @bhs67! If you want guests to join your Zoom meetings easily while still keeping control over who gets in, here are a few settings to check.

To make joining easier:

  • Join before host: Enable this to let participants join before you. Depending on your settings, they can enter anytime or 5, 10, or 15 minutes early.
  • Waiting Room: If you want to screen guests before letting them in, keep the Waiting Room enabled. Just note that it may prevent participants from joining before the host unless the appropriate bypass options are configured.
  • Authentication: If your guests don't have Zoom accounts or aren't signed in, review the requirement for authenticated users. Disabling it can make joining easier.

Can you block someone?

Yes. Zoom gives you a few ways to manage access if a situation comes up.

  • Remove a participant: In the Participants panel, select the person and click Remove. Whether they can rejoin depends on your meeting settings.
  • Lock the meeting: Once everyone has joined, go to Security and select Lock Meeting to prevent additional participants from entering.
  • Suspend participant activities: If someone is disrupting the meeting, use this option under Security to temporarily stop activities such as audio, video, chat, and screen sharing.

For more guidance, I recommend checking out these Zoom support articles:

These resources cover the settings in more detail and can help you find the right balance between making meetings accessible for guests and keeping them secure.

Hello, @bhs67! Just checking back in to see if you were able to go through my response. Hopefully, it helped answer your concern.

If it did, you can mark it as the best answer for reference to others who might run into the same issue. And if you’re still unsure about anything, just let me know!

This is an excellent response!  I forwarded this to other Toastmasters, who have never used Zoom.

I have used Zoom for a couple years, but am still learning the newest revision.  And I have never been a Host.  I’m currently waiting for a response from the new person (Host) who is paying for Zoom.  Thanks!

You're welcome, @bhs67! Since you mentioned that you're still learning the latest version of Zoom and haven't been a host yet, I'd like to recommend the Zoom Learning Center. It offers helpful tutorials and resources to help you become more familiar with Zoom's features and settings, including how to host meetings. This could also be a useful resource for the other Toastmasters you mentioned, especially those who are new to Zoom. Hope you find it helpful!

Sorry for the delay.  I’m still waiting for a response from the new person (Host) who is paying for Zoom.

Her mother is ill.  I don’t plan to rush this.
