Using and Downloading the New Zoom Transcripts

I decided to give it a try this afternoon, the new Zoom Meeting Transcript option, to try and capture more of the feeling of the meeting rather than just my own take on it.  My intent had been to have the transcript and compare it with some of the things that I had typed for the Therapeutic Counselling session.  I have reviewed it as a single entity but then looked for how to download this transcript, in case I needed to put on a USB flash drive for Court.  This is where things became a little unstuck.

I could not find, anywhere I looked, the link, button, ability to download this “Safe” document.  I could save it but only into my Zoom Documents or Notes.  This doesn’t work for the UK GDPR for keeping Client Notes in one place where they can be kept secure.  All documents are saved to a secure USB Flash Drive and then locked away in a safe.  I can not safely say that the documents can be saved as securely on a cloud.

I await the community responses.

    Hi there,

Thank you for sharing your experience with Zoom's meeting transcript feature. I completely understand the importance of being able to store sensitive client documents locally, especially given UK GDPR requirements and the need for court-ready records.

The good news is that Zoom meeting transcripts can be downloaded — here's how:

To download a transcript from the Zoom Web Portal:

    • Sign in to zoom.us and go to Recordings in the left-hand navigation menu.
    • Find the meeting in question and click on it.
    • You should see the recording details, including an "Audio Transcript" file listed alongside any cloud recording files.
    • Click the Download button next to the transcript file — it will save as a .vtt file to your computer, which you can then move to your USB flash drive.

    Important notes:

    • Transcripts are tied to cloud recordings. For the transcript to be downloadable, cloud recording must have been enabled for that meeting. If only a local recording was made, the transcript may only be available within Zoom Docs/Notes and won't have a separate downloadable file.
    • If you don't see the recording or transcript under Recordings, check with your account admin — the cloud recording feature may need to be enabled for your account.
    • The .vtt file is a standard text-based format that can be opened with any text editor (Notepad, TextEdit, etc.) or converted to .txt/.docx for your records.

I hope this helps. Please let us know if there is anything else we can help further!

A lot of people miss the “Audio Transcript” toggle under Recording settings, so if transcripts aren’t showing up, that’s usually the first thing to check. Also, transcript processing can take extra time even after the video recording is ready.
