Participant does not appear in Zoom reports even when I had Registration required to join

Hello everyone.

I’ve encountered a curious issue with a participant. This participant does not appear in any of the three zoom reports (registration, participant or poll) even when I had Required registration to join the session.

I was able to communicate with the participant, and she told me that she wasn’t able to join by her computer, so she joined by her personal tablet, when she tried to register the registration page didn’t populate so she skep it and joined.

Has someone encountered this issue before?

Thank you in advance for any help.

Thank you for sharing these details, that is definitely an unusual situation, but there are a few scenarios that could explain what happened.

Based on your description, it sounds like the participant may have joined the meeting without completing the registration process. Even when registration is required, this can sometimes occur if:

  • The participant joins using a direct meeting link that bypasses the registration page

  • They switch devices (for example, from a computer to a tablet) and encounter issues with the registration form loading

  • They join through the Zoom app while already logged in, which can occasionally skip the registration prompt depending on settings

  • They access a cached or previously used join link

When a participant joins without completing registration, they typically won’t appear in the registration report, and in some cases may also be missing or partially reflected in participant or poll reports.

To help prevent this in future sessions, you might consider:

  • Enabling “Only authenticated users can join” in addition to registration

  • Avoiding sharing the direct join link publicly (only share the registration link)

  • Testing the registration flow on multiple devices, including tablets/mobile

  • Enabling the setting that requires participants to enter their name/email before joining

If you continue to see this behavior, I’d recommend sharing the meeting ID and approximate join time with Zoom Support so they can investigate logs more closely.
