Invite link Works But Manual Entering of Meeting ID and Passcode Does Not Work To Join A Personal Meeting

If I start a meeting as the host the only way so far to get invited people into the meeting is through a link I would need to send to them.  Why can’t the invited person just use the zoom app, click join meeting, than enter meeting ID, than enter passcode for meeting and hit enter and wait for host to let them in to join a meeting.

Hello, @Daryl Wolf! Thanks for the additional info; that helps narrow it down.

In Zoom Workplace, your meeting ID and passcode are changing because you are likely using randomly generated meeting settings instead of your Personal Meeting ID (PMI).

To enable the Personal Meeting ID (PMI) for instant meetings:

    • Sign in to the Zoom web portal.
    • In the navigation panel, click Profile.
    • Click Edit to the far right of Personal Meeting ID.
    • Check Use Personal Meeting ID for instant meetings.
    • Click Save.

To use your Personal Meeting ID (PMI) for instant meetings:

    • Sign in to the Zoom desktop app.
    • On the Meetings tab, click the downward arrow beside New Meeting.
    • Verify that Use my Personal Meeting ID (PMI) is checked.

Note: Now when you click New Meeting again, the meeting will use your PMI.

To use your Personal Meeting ID (PMI) for scheduled meetings:

    • Sign in to the Zoom desktop app.
    • On the Meetings tab, click Schedule.
    • Under Meeting ID settings, check Personal Meeting ID.
    • Continue selecting settings and features to complete scheduling the meeting.

    I hope this helps!

Hello @Daryl Wolf, Welcome to the Zoom community!

In Zoom, participants can normally join a meeting by opening the app, clicking Join, entering the meeting ID, then the passcode, and waiting in the Waiting Room for the host to admit them.

If the invite link works but manual entry of the meeting ID and passcode does not, that typically means the issue is not with Zoom itself, but with how the meeting is being accessed or configured. In most cases, the invite link is simply the most reliable method because it automatically passes all required meeting credentials in the correct format.

When manual entry fails but the link works, the most common reasons are:

    • Incorrect meeting ID or passcode (even a small typo will block entry).
    • Meeting access restrictions, such as requiring participants to be signed in, limiting entry to users from specified domains, or requiring registration.
    • Waiting Room enabled (they may have joined successfully but are waiting to be admitted).
    • Outdated Zoom app or network restrictions (VPN, firewall, or corporate network rules can interfere with connecting).

If it doesn’t fall into one of these scenarios, could you tell me whether users are receiving an error message when trying to join via manual entry/meeting ID so we can isolate the issue further?

When a user tries to enter the passcode they get a message saying it does not match try again.  What I found out was that I checked the passcode listed when I am hosting the meeting and it is different every time.  So is the meeting ID.  I do not know why this is changing every meeting.  I thought once you have a meeting ID and passcode it was the same all of the time.  When I join other meetings like for church it is always the same and there is no problem signing in manually.  I do not know why my personal account is different.

This usually comes down to how the meeting is configured rather than the Zoom app itself. If the “waiting room” or passcode settings aren’t set up correctly, or if you’re using a personal meeting link vs a scheduled meeting, manual entry can fail even when the invite link works.

Thanks everyone.  I now have it set that my meeting ID is showing instead of a random ID.  The passcode seems to be staying the same as well.  I see the passcode when I open the meeting.  Than I select “participants” in the bottom menu and than click the “invite” option.  My meeting ID is at the top and the passcode is at the bottom of the window.

Now when I go to the zoom portal page and select from the left menu “profile” and than scroll down to the section that shows the passcode.  The passcode is hidden with just stars.  Is there a way to see that?  And that passcode now should be the same as the one showing in the open meeting as I described above when going to the “participants” option correct?

In the above message second paragraph instead of passcode it says in the profile “sign in password”.  There is an edit option but I need to know the password to edit it and it does not show it.

Hi @Daryl Wolf! In Zoom Workplace, the sign-in password you see in your profile is your account login password, not your meeting passcode. That's why it appears as stars; you can’t view it after it has been set, only change or reset it.

Your meeting passcode is different. It is tied to your meeting (or your Personal Meeting ID setup), so it is the one you see when you open a meeting or send an invite, and it will not appear in your profile.

If you want to change the meeting passcode for an existing meeting, you can do it here:

    • Go to Meetings: https://zoom.us/meeting
    • Click your meeting topic
    • Click Edit
    • Under Security, update the passcode
    • Click Save
