how to download note taking transcripts

I am a consultant who conducts lots of interviews for projects. I have always used otter.ai for notes and then downloaded them into word. I was told by someone that the new Zoom note-taker is better because it knows how is talking and can attribute the words correctly. I have been using it the last two days and it is very good and accurate. I have is that I now have 10 separate AI Docs with transcripts. The problem is what when I try to download into Word or PDF, the only thing on the document that is downloaded is the generic Zoom title; not the actual transcript. Is there a way to do this wihout having to copy/past each entire transcript into a Word doc on my desktop?

AI Docs can export full content—including summaries, transcripts, and formatting—not just titles.

 

Possible Reasons You're Getting Blank Downloads

  1. You're Exporting a “Zoom AI Doc” without content

    • If the doc has not correctly captured the transcript or summary, the exported file may appear blank (just a title).
  2. Issue with Export Method or View

    • Exporting from certain views (e.g., mobile app, limited UI) might only generate a placeholder.
  3. Missing Permissions or Export Configuration

    • AI Companion settings may affect retention or export availability

How to Troubleshoot this:

  • Open the full AI Doc in Zoom Docs via the Zoom web portal or Zoom Hub.
  • Use the Export option and select either Word or PDF — make sure you're exporting the actual doc and not a placeholder or template.
  • Check your account or admin settings and confirm that "Allow users to retain transcripts generated by meeting summary" is enabled.
  • Verify retention access by navigating to Recordings and Transcripts (as a user) or Recording and Transcript Management → Transcripts (as an admin) to confirm the transcript is saved.
  • If batch or bulk downloads continue to fail, test with a single recent meeting and a smaller AI Doc first to isolate whether the issue is with a specific file or a broader settings problem.

The export option still only exports anything in the AI Doc, but there is no way to export the transcript itself.

Correct. For me personally, it is the transcript itself I want exported. I don’t want to attempt to just copy and paste and risk missing portion(s) of the transcript. I am looking for a clean .txt export of the transcript.

None of this worked. Please tell me what the best way to record and interview with a client and then download the word for word transcript is within Zoom. Right now I am going back to otter.ai until I can know how best to do this.

Hi ​@BrettOetting - Usually the web portal works best for me. Want to try a quick test meeting to troubleshoot?
And personally, I kick otter ai out of any of my web conferences. You might want to do a quick search on issues with it. This is just my own personal opinion. I’m sure there are good use cases for otter ai. Tagging ​@lancetlc since I’m just a user 😆

Thank you. I also kick otter out of rooms so that is my struggle. I followed all the instructions and still not luck. I am wondering if it is because I am not the primary admin? My partner is the one that purchased the Workplace Pro account and created my account. But I also do not see anything indicating this is a user rights issue. Last week I spent 45 minutes trying to use Zoom Chat and then also called and it is literally impossible to speak to a human. ​@lancetlc

Hi All - I am running into the same issue here. I am able to export the generated summary (short and long general template). What I’m not able to do is export the raw transcript. Is it possible to export the transcript from the note within AI Docs? I can copy/paste, but I would like a clean transcript export. Thank you.

I ran into the exact same issue. Zoom AI Companion notes/transcripts are honestly impressive — especially the speaker attribution compared to otter.ai — but the export workflow feels unfinished.

From what I’ve found, Zoom’s “Download” on AI Docs often exports only the shell/title page instead of the actual transcript content, especially if the transcript is stored as an AI Doc rather than a classic cloud recording transcript.

A few workarounds that seem to help:

• Open the AI Doc itself (not the meeting summary page) before exporting
• Try “Export to .docx” from inside the doc editor instead of the main meeting page
• If you have Zoom + Google/Office integration enabled, sometimes “Open in Docs/Word” works better than download
• Some users report the transcript only exports correctly after the AI Doc is “shared” or finalized first

Unfortunately, there still doesn’t seem to be a true bulk-export workflow for multiple AI Docs with full transcripts included. Right now a lot of people are still copy/pasting or using automation tools like Zapier/Make to push transcripts into Word, Google Docs, Notion, etc.

Honestly, Zoom’s transcription quality is ahead of its document management right now.
