How are you monitoring attendance and participation during live Zoom meetings?

Hi everyone,

I’m curious how organisations are managing attendance and participation during live Zoom meetings, particularly when accurate records are important.

Zoom’s standard attendance reports show when participants join and leave, but they don’t necessarily provide a complete picture of what happens throughout a session.

For example, how are you managing:

  • Participants switching their cameras off for extended periods
  • People stepping away while remaining connected
  • Monitoring attendance during longer meetings, training sessions or online events
  • Verifying that participants remain present throughout a session
  • Maintaining reliable records for compliance, accreditation or reporting purposes

Are you relying on Zoom’s built-in reports, monitoring participants manually, or using additional tools?

I’m particularly interested in how organisations are addressing these challenges without creating additional administrative work for the people running the sessions.

Would be great to hear what solutions or approaches others have found effective.

Honestly, this is a common challenge — there's no single Zoom feature that proves someone was actually paying attention the whole time. Join/leave timestamps, watch time, chat, and poll data are what Zoom gives you, but nothing tracks camera-off time or stepping away as a "problem" since there are plenty of valid reasons for both.

Most organizations handle it with a layered approach rather than manual babysitting. For lower-stakes meetings: require registration with unique emails, export the report afterward, and apply a minimum-duration rule (often 75-80% of session time) to count someone as "attended." For higher-stakes sessions like compliance training or accreditation: add a few lightweight touchpoints — an opening check-in, a poll or two mid-session, maybe a post-break check-in — so you get verifiable proof of engagement without watching the participant list the whole time. Pairing that with authenticated sign-in (SSO or named accounts, no shared links) also makes your records a lot more trustworthy.

For scale, some teams pull Zoom's reports via API, match emails, calculate attendance percentage automatically, and only flag exceptions for manual review — rather than reviewing everyone.

Thanks for the detailed response. You’ve highlighted exactly the challenges that led me to develop AttendSure, particularly around compliance training and maintaining reliable attendance records without constantly monitoring participants.

AttendSure is now available on the Zoom App Marketplace and works alongside Zoom to automatically track camera activity, flag extended camera-off periods, send private reminders and generate detailed, timestamped attendance reports.

The goal isn’t to measure attention, but to provide objective attendance and participation evidence while reducing the administrative burden on trainers and organisations.

I’d be genuinely interested in your thoughts on this approach, particularly for organisations delivering compliance-based training.
