Better reporting tools for drop-in sessions (like advising or tutoring)

Hi everyone,

I use a licensed Zoom account through my university for academic advising sessions. Most of my meetings are open “drop-in” hours where I leave Zoom open and students come and go throughout the day.

The current attendee reports don’t really fit that setup. I have to manually piece together who was in the waiting room, who actually joined, when they left, and whether they came back later. It’s especially tricky to track students who waited but never joined or who had multiple short visits.

I’ve also tried using the AI Companion summaries, but they don’t include the kind of detailed timestamps or waiting room information that would make these reports useful for advising.

It would be great if Zoom could provide a clearer timeline or summary showing:

  • Each attendee’s waiting room time, meeting time, and any re-joins
  • A list of anyone who entered the waiting room but left before joining
  • Timestamped chat messages (since I share follow-up links there)

All that data already exists - it just needs to be presented in a way that supports drop-in or open-session workflows. I think this would help not only advisors but also faculty, tutors, and counselors who use Zoom the same way.

Has anybody found a way to easily incorporate this into their workflow for drop-in sessions?

Yes, Zoom does not fit this use case in respect of the standard reports.
They only look at total time.
You are not alone, I have heard this type of question many times.

We are looking at making an app to do this for helping sales people and ask similar quesitons.

It will take a Zoom App to be created and I will be talking about his in my developer show in a few months, so maybe somebody will take up the challange.
