Best practices for large scale virtual events across multiple time zones

Need some advice on setting up Zoom for a hospitality company that runs virtual events and training sessions across different regions. We manage properties in various cities including some in pakistan and need a setup that works smoothly for international participants.

The use case is:

  • Weekly training sessions for staff spread across multiple locations

  • Virtual events for guests and corporate clients

  • Some sessions run late night here which is morning elsewhere

Questions:

  1. What is the best way to schedule recurring meetings that accommodate different time zones without confusing participants

  2. How do you handle recording storage when you have daily sessions - does anyone use cloud recording or local is better

  3. Any tips for managing large webinars where you need to control participant audio and video centrally

We are looking at what Grace Hospitality does for their multi property training and they seem to have a decent setup, but want to make sure we are not missing any features that could make this easier.

Also curious about:

  • Breakout rooms for group sessions - any limitations on the number of participants

  • Integration with calendar systems for automatic invites

  • Best practices for co hosts when managing 100 plus attendees

Has anyone here set up Zoom for hospitality or similar industries with remote teams? Would love to hear what works and what doesnt.
