Calendar Invites

We are using Zoom Meetings for a small training. The two trainers received calendar invites that were dated a month earlier than the event. I’ve double checked all dates on the setup and it all is for the correct date in March. The invite I received as one of the trainers is correct. My two trainers each received a calendar invite for the wrong date (instead of march it is for february). Is this a glitch in my zoom account or in my internal email/calendar at work? 

Also - now that they have removed the incorrect invite, I’d like to send a new invite to them. How can I do that?

This issue is most likely related to your internal email or calendar system, not a glitch in your Zoom account. Zoom Meetings sends calendar invitations based on the date and time you set when scheduling the meeting. If the invite you received is correct, but your trainers received invites with the wrong date, it could be due to:

  • Calendar sync issues (e.g., Outlook, Google Calendar, or Exchange)
  • Time zone mismatches between your Zoom account and your trainers’ calendar settings
  • Cached or duplicate calendar entries in their email/calendar system

To resolve this and send a new, correct invite:

  1. Delete the Incorrect Invite:
  • Your trainers should remove the incorrect calendar event from their calendars.
  1. Resend the Correct Invite:
  • Go to your scheduled Zoom meeting in the Zoom web portal.
  • Click on the meeting topic to open the meeting details.
  • Click "Copy Invitation" to copy the meeting details (including the correct date and time).
  • Paste this information into a new calendar invite (using Outlook, Google Calendar, etc.) and send it to your trainers.

Alternatively, you can use the Add to Calendar option in Zoom to generate a new calendar invite and send it directly.

If the issue persists, double-check everyone’s time zone settings in both Zoom and your calendar system.

This happened to me once. I found that the reason was I put in the incorrect date, zoom send out the calandar links and then I corrected my mistake but was too late for the invites,

You can sen the invite calandar links again and they should reflect the date and time you have now. Delete the old ones.
The way all calandar invites work, Zoom can not move a calandar entry.
The only way to make dates move is to use calandar subscriptions. A more complicated system.
