Creating a Conference

Hello Everyone,

I am trying to set up a fully virtual, on-demand conference for a nonprofit professional association. Our members are located across Alaska, so we do not hold an in-person event.

The conference will consist of 17 prerecorded presentations that attendees must watch to receive CEU credits. There are no live sessions. Participants simply register, watch the recordings, and complete the conference on their own schedule.

What we need:

  • Registration open May 1 - December 31
  • Attendees must be able to purchase/register anytime during that period
  • Once registered, they should have access to all 17 prerecorded sessions
  • The sessions must remain available for on-demand viewing from time of registration till end of December

When creating the event in Zoom Events, I see three options but each seems to have limitations:

1. Single Session Event
This doesn’t seem to work because the event date must be a specific day, and our conference needs to remain open for registration and viewing from May through December, plus it limits you to 3 videos.

2. Recurring Session Event
This allows a longer timeframe, but the maximum recurring window is 60 days. I’m wondering if it’s possible to reopen or extend the event later without recreating it, while still allowing previously registered attendees to retain access to earlier sessions.

3. Multi-Session Event
This option appears closest to what we need, but it limits the event dates to 6 days. I see that the lobby can stay open after the event, but Zoom Support was unable to tell me how long the lobby can remain open or whether participants could still register during that extended period.

My main question:
Is there a recommended way in Zoom Events to host a long-term, fully on-demand conference (May–December) where participants can register at any time and watch prerecorded sessions?

If anyone has hosted a similar on-demand conference with prerecorded content, I would appreciate any guidance on the best setup.

    Great plan. Zoom is not really setup for a fully on-demand experience. So the standard Zoom answer could be no. But that has never stopped me.

    But after the event has completed you can watch on-demand.

    So I would run a multi-session event and play all the recordings into the sessions. You can even upload replacement recordings, so you could make just short sessions live and then replace them.

    You can leave the lobby open for whatever dates you want.

    Under a standard events licence, you are limited to 300 watching on-demand, else you need a bigger licence. This is part of their CMS upgrade which is what Zoom would like you to run, but is much more expensive and uniklely to be worth it for one event.
