Question

Learning basic Zoom Meetings adminstration concepts and skills

Hello. I am brand new to Zoom, although I did retire from a ~40-year IT career, so I am hopefully not completely ignorant of many of the concepts. My high school class is planning a reunion during 2027, and we would like to make it a hybrid live and remote participation event to accommodate some of our classmates who are no longer able to travel long distances. I viewed the introductory user videos on the Zoom learning portal, and I hoped to follow that with educational material on the basic concepts and skills for Zoom Meetings administration. I did find some course ware on that subject listed in the Zoom site, but it appears that it was all retired in March, 2026. I don’t see anything listed to replace it. Also, some of the user introduction guides were not as detailed as I had hoped. For example, I could not access a screenshot of the participants that showed the sidebar with their names. Examples of that, and similar screenshots, would be most helpful. What would be the best way for me to find more information of this kind? Just FWIW, our budget is quite limited. While I do intend to sign up for a paid subscription at least two months in advance of the event (most likely to be held in early September, 2027) so that I can begin planning and testing, I really need to gain most of this knowledge before doing that. Thank you.

Thank you for that. I have registered for the 11/12 session. I expected more tips from fellow Zoom users as well - is that not consistent with the way this “Community” works? Perhaps I misunderstood something.

Hey @Gamma Sixtyseven

Great use case! Hybrid reunions are a perfect fit for Zoom. Since you've already registered for the training, here are a few practical tips to start planning with:

Plan choice: Zoom Workplace Business or Pro will cover what you need. Pro supports meetings up to 30 hours and up to 100 participants, which should work for a reunion. If you expect more than 100 remote attendees, Business bumps that to 300.

Features to explore:

  • Waiting Room — lets you screen who joins before admitting them
  • Gallery View — so remote and in-person attendees can see each other
  • Breakout Rooms — great for smaller group catch-ups during the event
  • Recording — record the session so classmates who couldn't attend can watch later
  • Virtual Background / Name Display — ask attendees to set their name as "First Last (Graduation Year)" for easy recognition

For the hybrid setup: You'll want a laptop connected to a large screen/projector at the venue, a decent external webcam and mic/speaker so remote attendees can see and hear the room, and a stable internet connection.

Free learning before you subscribe: You can explore the Zoom Learning Center and the Zoom Support articles for walkthroughs with screenshots — the participant panel, meeting controls, and host tools are all covered there.

And yes — this is exactly what the Community is for! Feel free to post follow-up questions as you plan. Good luck with the reunion!
