Removing time restriction to reserve workspace in advance

We have a small office where our team frequently books recurring weekly or bi-weekly meetings in our shared meeting rooms. I typically advise them to schedule these through Outlook and select the meeting room as the location, since our Exchange setup doesn’t restrict recurring resource reservations.

I’m currently creating a “How to Reserve a Meeting Room” guide and was asked to include steps for booking rooms through Zoom Workspace. As the Zoom admin, I’m trying to determine whether it’s possible to adjust the “reserve workspace in advance” setting in the Zoom admin portal - specifically, can this limit be removed or set to unlimited?

Has anyone configured this or found a workaround?

I’m sorry for the late response.

The "Reserve Workspace in Advance" setting in the Zoom admin portal cannot be set to unlimited or removed. The maximum number of days users can book a workspace in advance is 181 days. This is a fixed limit in Zoom Workspace, and there is currently no option to make it unlimited or remove the restriction.

If you need to allow longer or unlimited advance reservations, you may need to continue using your Exchange/Outlook setup for those scenarios.

This is a fixed limit in Zoom Workspace, and there is currently no option to make it unlimited or remove the restriction.

From what I’ve found, Zoom currently does not allow the “Reserve Workspace in Advance” limit to be removed or set to unlimited. The maximum booking window appears to be capped at 181 days in the admin settings. ()

You can configure it here:

  • Workspaces Management → Workspaces
  • Select the location/building/floor
  • Settings → Basic
  • “Reserve Workspace in Advance”

…but the value is limited to a maximum of 181 days. ()

Honestly, your current Outlook/Exchange approach is probably still the better workflow for recurring weekly/bi-weekly meeting room reservations, especially since Exchange resource calendars handle long-term recurring bookings much more naturally.

Zoom Workspace Reservation seems designed more around:

  • flexible desk booking,
  • hybrid office scheduling,
  • short/medium-term room reservations,
  • and occupancy management,

rather than indefinite recurring reservation logic. ()

This actually reminds me a bit of Letter Boxed puzzle design — the system works well within its intended constraints, but once users try to “connect” workflows beyond those constraints (like unlimited recurring reservations), you start hitting hard edges in the platform design.

A practical workaround might be:

  • continue using Outlook for recurring room bookings,
  • and include Zoom Workspace instructions only for ad-hoc or short-term reservations in your guide.

That gives users the strengths of both systems without fighting the platform limitations.
