Zoom Webinar Reminder not adjusting Calendar events for time zone

We have a webinar scheduled for 1PM ET US, accommodating the panelists' and hosts' time zone. However, when end users add the webinar to their calendar from the Zoom Reminder, it adds to their calendar at 1PM their local time, instead of adjusting for time zone (ie, when a PT attendee adds to their calendar, it is showing the webinar at 1PM PT rather than 10AM, which is 1PM ET). Can this be addressed from our side, or is it a bug?

    When someone registers for a Zoom webinar, the calendar invite they download should reflect the correct time in the attendee’s own local time zone, based on the webinar’s scheduled time and time zone setting (e.g., 1PM ET → 10AM PT for a West Coast registrant).

     

    It sounds like the calendar invite downloaded (via “Add to Calendar” link) is not adjusting for local time zones, meaning it’s keeping 1PM as a fixed local time no matter where the user is. That’s wrong. 

    This typically happens due to one of the following reasons:

    Time Zone Not Set Correctly in the Webinar Setup

    • When creating the Zoom webinar, make sure the time zone is explicitly set to Eastern Time (ET).

    • Sometimes Zoom may default to the account holder's time zone or UTC if not selected manually.

    Fix:

    • Go to your webinar details page in Zoom.

    • Click "Edit" and ensure the correct Time Zone is selected (e.g., (GMT-04:00) Eastern Time (US and Canada)).

     

    Browser or Device Time Zone Conflict

    Some users' devices or browsers may have misconfigured time zones. While rare, this can cause misinterpretation of time.

    Test:

    • Ask one affected user to check their device time zone and see if it’s set to PT properly.

    • Try registering yourself from a device in a different time zone to replicate the issue.

    This sounds like a time zone issue. Double check that the webinar time and timezone are correct. If the issue persists, you could try sending reminders a separate way to ensure the correct timezone is displayed. You can either do this from your email client directly or use a Zoom app, Salepager, that can send reminders for Zoom.
