Sharing whiteboards in breakout rooms

I have set up a number of whiteboards (have purchased the whiteboard add on license) and want to share the whiteboards in separate break out rooms. I want the groups to edit the whiteboards in the breakout rooms and bring them back to the main group.

I have not been able to find out how I can share the whiteboards with the breakout groups, I am unable to share the link in the chat as the main chat is wiped when they go into break outs. If I send it as a broadcast message they can't click on the link.

 

Even if I make it one whiteboard to share across all groups I can't not share it to the breakout rooms like you can with a shared screen.

 

I have reviewed all similar questions in the community and have found no solution, I have done the training with no solution to this problem shown. Please advise.

HI @adawe , I think you want to collect ideas from different groups. There are 2 solutions for your case.

Solution1 : Ask each group to create a whiteboard in Break-out(BO) room, and when they are done. They can just leave the BO room. And the whiteboard won't be lost. It belongs to you (assume you are the meeting host). 

 

Tip : Create wb with a unique name then you can know which group creates which board.

 

The disadvantage is : each group has one whiteboard. If you want these whiteboards to be only one, you have to copy and paste content of each whiteboard into the same whiteboard. It's kind of boring work.

 

So the solution 2 resolves this issue.

Solution 2:

1. Create/Open a whiteboard before all users go to BO rooms. 

2. Add all users to share list (Click Share button on the top-right -> add user by email).  if there are too many users, then add all of these users into one channel and add the channel to the share list. 

 

Tip : you can also just add group owners into the share list. Then ask group owner to open the whiteboard in BO for each group.

 

The step2 is important because then users can find this board in BO room.

3. create page for each group, Tip : max 12 pages.  So I wish you don't have more than 12 user-groups.

4. Ask users to join BO rooms and only edit on their page. You need to tell them to do so. Don't edit other group's page. Because there is no embeded tools to do this limitation.

Users can find previous board by click "Whiteboards -> Existing whiteboards -> Recent"

 

 

5. When they are done. Users can leave the BO room. Finally you get all contents or ideas on the same whiteboard.
