When one invitee cancels a meeting , it canceled the invite for everyone

A client is  having a recurring issue with an Outlook invite sent once per month.
It is an Outlook calendar invite with a Zoom meeting and it is sent to about 100 people.
This month and a few months ago one of the people invited to the meeting 'cancelled' it and it cancelled the invite for everyone. I'm not sure how this is possible since client is the organizer, any help with this would be great!

Apologies ,It has now been brought to our attention , that it is the Outlook invite that gets canceled and not the Zoom meeting,

If I'm understanding correctly, this seems to be an issue on the Outlook side correct? If so, please let us know if there is anything we can do to help on our end!

Hi Carla,

I have a user who reported this issue as well. Even though the meeting isn't cancelled in Zoom, her concern is that the cancellation is sent to all attendees as an email and think the meeting is cancelled. Is there anything in the backend that can block that action?

When a change is made to an Outlook invite a notification is sent to all attendees. If you have 100 people attending a meeting this can very easily lead to unnecessary notifications each time one person makes an update. As a solution you could create separate BCC calendar invitations for each person that attends. There is also a Zoom app, Salepager, that lets you send BCC Outlook calendar invites for recurring Zoom meetings.

How, in the name of digital protocols and calendar permissions, does this happen? The client, the organizer, the architect of this monthly ritual, should hold the keys to its fate. Yet, a single participant, a mere attendee, usurps this power.

We're sorry for the inconvenience. Unfortunately, Zoom does not control how meeting details or cancellations appear in Outlook. These are managed by Microsoft Outlook. For help with Outlook’s display, we would recommend reaching out to Microsoft Support
