Managing Large Conferences

We've hosted a few virtual conferences now, some lasting multiple days and involve different tracks/breakout sessions people can attend. I'm curious what tips and tricks any of you have picked up along the way for those who have done similar things.  Some stuff we've learned:

 

  • The Concurrent Meeting addon is useful if you want to schedule all the links yourself and not use someone else's license/log in to support multiple sessions
    • However you still cannot host a Webinar and a meeting at the same time, regardless of this license or not.
  • While we've looked at some online event platforms, we've never found the cost worth it, as most of them basically just organize your Zoom links in a more user/app-friendly manner.  I've just encouraged everyone so far to keep their links organized, and then distribute them as hyperlinks in emails or PDFs for attendees.  So far it's worked well.

I'd love to hear what else others have picked up from doing similar events!

Hey @JLord ! Have you looked into Calendar Integration? 🗓 You can set up calendar integration so that your Zoom meetings and webinars on your third-party calendar are synced to the Zoom desktop client. You can check out more at Setting up calendar and contacts integration for the desktop client
