ZoomMate's new "Zoom Saves Summer" workflow templates are designed to solve exactly this problem. These purpose-built automations help you prepare before you leave, stay informed while you're away (without actually working), and get back up to speed quickly when you return — all powered by AI-driven context and continuity tools.

This guide shows you how to set up these workflows, what they do, and how your organization can encourage healthier time-off habits by making the return-to-work experience seamless.

 

What Are the Zoom Saves Summer Templates?

 

The Zoom Saves Summer templates are a new category in the ZoomMate workflow template library. They are pre-built workflow automations designed around two key moments in the PTO lifecycle:

Before you leave — Workflows that help you set up out-of-office responses, delegate responsibilities, and helps ensure nothing important falls through the cracks while you're away.

When you return — Workflows that surface relevant updates, meeting recaps, and team activity from while you were out, giving you a consolidated "catch-up" briefing instead of forcing you to scroll through hundreds of messages and recordings.

These templates use ZoomMate's AI capabilities to analyze your meetings, chats, and connected data sources, then synthesize the information into actionable summaries. A paid Zoom Workplace subscription or other license may be required to use certain product features. Use of advanced and metered AI features requires a Zoom AI Productivity Suite or ZoomMate subscription. Features and capabilities are subject to applicable usage limits, availability, and AI credit balances.

Setting Up Your Pre-Vacation Workflows

 

Step 1: Access the Template Library

Open ZoomMate from the Zoom desktop app or web portal. Navigate to the Workflows section and open the Template Gallery. Look for the Zoom Saves Summer category — it's prominently featured in the gallery.

 

Step 2: Deploy the "Prepare for Time Off" Template

This template helps you handle the logistics of going on vacation:

Auto-set your out-of-office status across Zoom Chat and your calendar, with a custom message that includes your return date and who to contact in your absence.

Generate a handoff summary from your recent meetings and active threads. ZoomMate reviews your past week of meetings and chat activity, then creates a concise briefing document that you can share with your backup or team lead. This summary includes open action items, pending decisions, and any commitments you made that need follow-up while you're away.

Notify key contacts by sending a Zoom Chat message to your direct team or manager with your out-of-office dates and the handoff summary.

 

Step 3: Customize the Template

Every template is customizable. You can adjust the notification recipients and channels, modify the handoff summary scope (e.g., include only meetings from the past 3 days instead of a full week), add additional actions like creating tasks in connected project management tools (such as Jira or Asana) for items that need coverage, and set the trigger timing (e.g., run the workflow the day before your PTO starts).

Setting Up Your Return-to-Work Workflows

 

Step 1: Deploy the "Catch Up After Time Off" Template

This is where ZoomMate really shines. You can set up the catch-up template to run when you return so it does the heavy lifting of reviewing everything that happened while you were away:

Meeting recap synthesis — ZoomMate reviews meetings that occurred during your absence (including ones you were invited to but didn't attend) and generates a consolidated summary. Instead of watching hours of recordings, you get a briefing that highlights key decisions, action items assigned to you, and topics that need your attention. (Note: ZoomMate may not be able to generate summaries for meetings where the host has disabled AI features or recording)

Chat and channel digest — The workflow scans your Zoom Chat channels and direct messages for activity during your time off, surfacing mentions, important threads, and messages that require a response.

Action item rollup — Any tasks or commitments that were created or assigned to you during your absence are compiled into a single list, so you can prioritize your first day back.

 

Step 2: Review and Act

When the catch-up workflow completes, you'll receive a structured briefing in ZoomMate. From there, you can ask follow-up questions conversationally — for example, "What did the product team decide about the Q3 launch timeline?" — and ZoomMate will pull the relevant context from the meetings and chats it reviewed.

 

Step 3: Share Your Catch-Up Status

Optionally, the workflow can send a message to your team channel letting everyone know you're back and up to speed, reducing the "welcome back, here's what you missed" conversations that eat into your first day.

For IT Admins: Deploying Zoom Saves Summer Across Your Organization

 

Publishing Templates Organization-Wide

Admins can publish the Zoom Saves Summer templates to the organization's workflow template library, making them available to all users without requiring each person to find and configure them individually. This is especially valuable for organizations that want to encourage consistent PTO practices.

 

Controlling Access

If your organization has disabled end-user workflow creation, admins can still make these templates available as read-and-run automations. Users can execute the pre-built workflows without the ability to modify them, helping maintain consistency while supporting governance needs.

The workflow analytics dashboard shows how many users have adopted the Zoom Saves Summer templates, how often they're being executed. This data can help HR and People teams understand PTO patterns and identify opportunities to improve the employee experience.

Tips for Getting the Most Out of These Workflows

 

Set up your workflows before you need them. Don't wait until the day before your vacation. Configure and test your pre-vacation and catch-up workflows at least a week in advance so you can refine them.

Set your data connectors. The catch-up workflow is only as good as the data it can access. Make sure your chat, meetings, and any relevant third-party connectors (Google Drive, Salesforce, etc.) are connected.

Use natural language to customize. If the pre-built templates don't quite fit your needs, you can create custom workflows by describing what you want in plain English. For example: "When I return from PTO, summarize all meetings I missed and send me a digest in Zoom Chat."

Encourage team adoption. These workflows work best when the whole team uses them. When everyone has a handoff workflow, coverage during absences can become more systematic rather than ad hoc.

Be mindful of AI credits. The catch-up workflow synthesizes potentially large amounts of meeting and chat data. For longer absences, this may consume more credits. Monitor your organization's credit usage during initial rollout.
