Setting up Zoom Phone & Auto Receptionist

Hi.  I am new to Zoom Phone and trying to get it configured for a small office of eventually 3 people. 

What I want is for people to call a main company number 999-999-9999, hear a voicemail greeting and that says “to reach person A, press 1...to reach Person B, press 2… to reach person C, press 3,”  Once the caller presses a number, the call will be forwarded to that User’s extension or cell phone.

 

Currently, I purchased two Zoom Workplace Pro Plus licenses.  I thought the Auto Receptionist would need its own license and one license for myself.  

I’m a little confused because I have assigned one license and one is unassigned.  The main company number 999-999-9999 is assigned to the Auto Receptionist at Ext. 801.

I am setup as a User at Ext. 800.  

When I dial the main number, I get the greeting and when I press 1, the call is forwarded to my extension.  

  1. Is this the correct way to have it setup? 
  2. Does the Auto Receptionist come included with the Zoom Phone package or does the Auto Receptionist need its own license (Basic, Pro, etc.)
  3. It seems like my User Profile to tied or linked directly to the Auto Receptionist and I am not sure if this is correct.  
  4. Lastly, I plan on adding two more people.  Do I just need a total of 3 Pro Plus licenses get it accomplished?

Overall, it is working.  I call the main number, press 1, and my computer rings with the phone call.  However, it seems like my User Profile is not separate from the Auto Receptionist, and I am not sure if this will cause problems down the road.

I understand that you want all incoming calls to go to your main number and have assigned the main number to your auto receptionist. Based on your description of press 1 to reach person a, you appear to be using the Interactive Voice Response (IVR) system to route your incoming calls.  This setup is often used.  There are other options which are covered in related support articles.

Since you are using your auto receptionist only for incoming calls, all it needs is a telephone number.  Each of your Zoom Workplace Pro Plus licenses comes with one domestic telephone number.  Since you have assigned one of your two numbers to your auto receptionist, you have one more number to use.  Sometimes users are assigned a direct domestic telephone number, but it is not required.  For example, you could assign the one extra domestic telephone number to yourself so that callers could direct dial your number.

Each user that needs to make external calls needs a Zoom Phone paid license.  Assuming that you will have three users making external calls, you will need three Zoom Phone paid licenses.  The licenses could be what you have Zoom Phone Pro Plus or perhaps Zoom Phone Unlimited US/Canada.  Please see Plans and Pricing for options.
