Recording is available email settings

In Zoom events, you can send an auto-generated email to all "attendees" that the recording is available. How do I get that same message to those who registered but didn't attend? The "sorry we missed you" email" doesn't have the option to add the watch recordings widget.  The settings for the recordings available email do not allow you to select absent attendees.

Hi, @cconley_arvo.  Sorry for the late reply, but welcome to the newly updated Zoom Community!

I chatted a bit with one of the Zoom Events Technical team to get their take on my initial thoughts, and we pretty much agreed.

The recommendation is to Duplicate the Recordings are available email and create potentially three separate emails:

  1. One to all Attendees who attended
  2. One to all Attendees who did not attend
  3. One to all Special Roles people.

You could potentially set these three conditions up all in one email, but you’d lose the opportunity to customize the text to something like:

  1. Thank you for attending our event.  The recordings are now available.  You might want to watch sessions you missed, or review one of the sessions you attended.
  2. Sorry you were unable to attend our event.  The recordings are now available, and you are encouraged to watch any that appeal to you.
  3. Thank you for your participation in our event as speaker, alt host, moderator, or interpreter.  The recordings are now available. Feel free to watch the sessions you participated in or any of the others you might have missed.

Taking a few minutes to customize these from the original Recording Available email will be more personal to your recipients.

Here are the 3 Email settings in their respective To blocks:

  1. Attended

  2. Didn’t attend

  3. Special Roles

I hope that’s helpful!  It takes a good bit of practice and exposure to the Email and Landing Page editors to get the hang of them.  Consider creating a “Test” event and practice/experiment!
