How do I give users access to a shared folder by User Group?

I want to create a shared folder and give users access to it by user group, with permissions based on that user group for example:

  • User Group A - Co-Owner
  • User Group B - Collaborator
  • User Group C - View Only

The shared folder should then appear for all users in the respective groups, with their access determined by the permissions assigned to the user group.

Is this possible? If not, I’ve been mis-sold.

Hi @Ryan Brown  Thank you for your feedback.

At the moment, adding user groups directly as collaborators to a Shared Folder is not supported.

As a workaround, you can create a Channel and use it in place of a user group by adding the Channel as a collaborator to the Shared Folder. This allows you to grant access to multiple users more efficiently.

Hi @Ryan Brown,

Welcome to Zoom Community! We’re glad to have you here!

Yes, in Zoom Docs, you can create shared folders and manage access permissions at the user group level. Account owners and admins can enable or disable shared folders for specific user groups, and assign different permission levels (such as Co-Owner, Collaborator, or View Only) to each group. This means users in each group will see the shared folder and have access based on the permissions assigned to their group.

Admins with Docs management permissions can view, assign managers, and manage these permissions to ensure proper access and security. Permissions can be set at the account, group, or user level, so your described scenario is supported in Zoom Docs.

Thank Aluyun. I’ve already got that far - what I can’t seem to do is give a user group access to a shared folder. For example - I’m creating a shared folder for System Admins. The system admins (all 35 of them) are assigned to user group “System Admins”. I want to allow all users in this group view-only access to the shared folder. I don’t want to have to add them all individually. Giving them access based on their user group is important because:

  • I can give new users access when creating their profile
  • I can remove their access from this (and, therefore, any other shared folders) simply be removing them from the user group

I would also want to give a separate group, who are responsible for creating content in the shared folder, full read/write access to the same folder.

Is this possible?
