If i create an organizational account for my nonprofit using its shared email address, how will access work?

Hi.

I am considering getting a 50% nonprofit Zoom workplace pro subscription for our charitable organisation, using our shared email address (admin@ournonprofit.org) as the accountholder.

How would login/meeting scheduling/hosting work using this setup? would anyone in our organisation who knows the login be allowed to sign in and schedule and host meetings as needed?

Hi ​@Heath_IL, welcome to Zoom Community! Since you’re looking at a Zoom Workplace Pro subscription, even if 10 people know the login, a single Pro license can only host one active meeting at a time. You can schedule as a many meetings as you want for different times, but they cannot overlap. Anyone with your shared email address can sign in to the Zoom desktop app or web portal. Zoom allows you to be signed in on up to 2 desktop computers, 2 tablets, and 2 mobile devices simultaneously. If a third person logs in on a computer, the first person will be automatically signed out. 

Any staff member can log in, schedule a meeting, and send the meeting invite to participants. To start the meeting, the person must log in as admin@ournonprofit.org. Once the meeting is live, they can assign a participant as a co-host. This allows the ‘admin’ to leave the meeting while the other person continues to lead it. 

If you find your team often double-books time slots, you may want to use the discount to purchase at least 2 Pro licenses instead of 1. This would allow 2 separate people to host meetings simultaneously under the same organization. I hope this helps.

It sounds like for our team:

  • Anyone with access to admin@ournonprofit.org can schedule meetings.

  • Only one meeting at a time can be hosted per Pro license.

  • Using co-hosts is a great workaround if someone else needs to lead while the admin leaves.

  • We’ll consider getting a second Pro license if overlapping meetings become common.
