Zoom Room Meeting Sync Issue & Recording Disabled on Controller

Dear Zoom Support Team,
We are facing an issue with our Zoom Room setup.
When we create or schedule meetings through the Zoom Admin Portal, the meetings do not appear on the Zoom Room controller (tablet), even though the calendar service has been properly enabled and configured.
In addition, the recording option on the Zoom Room tablet is inactive/disabled, despite the recording destination being set to Cloud Recording.
We have already verified the following:
Zoom Room is properly logged in
Calendar integration is enabled and connected
Cloud recording is enabled at the account level
However, the issues still persist.
We would appreciate your assistance in resolving the following:
Meetings not syncing to the Zoom Room controller
Recording option disabled on the tablet despite Cloud Recording being enabled
Kindly guide us on the required configurations or troubleshooting steps to resolve these issues.

Based on your description, there are two separate issues — calendar synchronization and the disabled recording option.

Meetings Not Appearing on Zoom Room Controller
Possible Causes:

  • The calendar integration is connected but missing required permissions.
  • The Zoom Room email is not added as a resource/room in the calendar event.
  • The Zoom Room is linked to the wrong calendar in the Zoom Admin Portal.
  • Outdated Zoom Room or Controller software causing sync issues.

Recommended Checks:

  • Reauthorize and verify your calendar integration under Zoom Web Portal > Room Management > Zoom Rooms > Calendar Integration.
  • Ensure the Zoom Room email address is added as a room/resource in each meeting invite.
  • Sign out and back in on the Zoom Room controller to refresh the calendar sync.
  • Confirm both the Zoom Room and Controller apps are up to date.

For the recording option being inactive:

Recommended Checks:

  • Confirm that Cloud Recording is enabled for the Zoom Room account (Room Management > Zoom Rooms > Meeting tab > Enable Cloud Recording).
  • If the room joins a meeting but is not the host, it cannot start recording — only the host can record.
