Scheduling Privilege Solution

I haven't touched on Scheduling Privilege in a while, but it came up twice during my recent Business Reviews, proving its significance in resolving ongoing customer issues.

 

Scheduling privilege is designed for a user or an executive admin to:

  • Assign or delegate a user or multiple users in your account to schedule meetings on your behalf. 
  • Schedule meetings on behalf of a user (or multiple users) that has assigned you scheduling privilege. If both users have a webinar license, they can also schedule webinars for you.
  • Access cloud recordings and meeting reports for those you are a delegate for. 
  • Act as an alternative host for any meetings you have scheduling privilege for. 

This allows for more productivity and flexibility for teams that schedule meetings for each other. 

 

In one instance, an admin from a law firm shared a common pain point: scheduling meetings when a paralegal is unavailable. Previously, their paralegals manually checked the attorney's calendar, scheduled meetings, and invited participants, resulting in the paralegal's name appearing as the host instead of the attorney's which causes confusion. With this, I discussed how Scheduling Privilege works and showed how to assign a user the privilege and schedule meetings for others. They were not aware that this feature exists so the admin was very happy to learn about this solution which can definitely streamline their workflows.

 

In another case, an IT professional highlighted issues with the Meeting Summary feature, initially presumed to be a technical glitch requiring support intervention. However, upon further investigation, it was revealed that the inconsistency in Meeting Summary functionality was linked to Scheduling Privilege. The user scheduling the meeting on behalf of the host lacked the necessary delegation, preventing the host from receiving the recap. I helped the admin make the necessary changes and the customer was relieved to know that the resolution was a straightforward implementation of Scheduling Privilege.

 

These examples underscore the importance of keeping our clients informed about powerful features like Scheduling Privilege, showcasing our commitment to addressing their unique needs and providing effective solutions. As we move forward, let's continue to leverage such features to empower our users and enhance their overall experience with our platform.

These are such good use-cases for the Scheduling Privileges feature! For me, I have seen this utilized a lot by our clients in the Human Resource industry wherein recruiters often schedule on behalf of the interviewer or hiring managers and the applicants. Such a great help!!!

Our CEO keeps getting phantom meetings in his Zoom calendar, usually stating they are from his administrative assistant. She has access to his calendar, but neither of them are creating the appointments. It is becoming frustrating when he checks his calendar each day and there are appointments showing that are not real.  Do you have any suggestions?
