Hello, Zoom Community! As a CSM, my goal is to help my clients get maximum value. So, when I hear a great success story, I have to share it!

I recently sat down with an IT Manager, for our Business Review. She's always under pressure to manage costs while keeping every employee productive. She told me the Zoom Workplace Dashboard has become her "new best friend."

She realized the Dashboard is more than a reporting tool, but it’s a living, breathing map of her company’s collaboration habits that turns chaos into clear, actionable steps.

 

She shared that the Dashboard’s true value is its ability to instantly answer the tough, strategic questions leadership always asks:

"Are we getting our money's worth?" The IT Admin can now instantly see the Adoption Rates for every product (Meetings, Phone, Team Chat, Whiteboard, Docs). If a specific team isn't using a feature they're licensed for, she knows exactly where to step in with targeted training before the renewal date hits.

"What’s actually breaking?" Instead of waiting for a flood of support tickets, she uses the System Health section to proactively spot network performance dips, identify problem conference rooms, or see if a specific geographic area is experiencing quality issues. She said it lets her be the hero who fixes a problem before anyone even complains!

"Is our investment in AI paying off?" She tracks usage of AI Companion features like meeting summaries and smart tasks. This data allows her to directly demonstrate the value of the latest innovation back to her leadership team.

 

Here’s the story that sealed the deal for me. A perfect example of strategic resource management:

She was challenged by their leadership to find ways to maximize their total investment across the entire Zoom portfolio. She needed to ensure every dollar spent was driving growth and productivity.

She drilled into the Zoom Phone Usage metrics on the Dashboard and identified 36 licenses with zero usage (no calls or texts) in the last 90 days. These were valid licenses that had been provisioned for former seasonal staff or employees who had transitioned to non-phone roles. The Dashboard showed her the exact users and this gave her the data and the idea to reallocate those 36 unutilized Zoom Phone licenses. She converted some of it into Zoom Contact Center licenses for their busy Support team, who desperately needed the upgrade, and used the remaining value to invest in Zoom Rooms hardware for a new executive meeting space. She didn't just cut costs, she maximized her budget’s impact by ensuring every license was actively driving business value where it was needed most. She went from being asked to "manage expenses" to being praised for "optimizing organizational resources" across the entire Workplace ecosystem.

This is the power of the Zoom Workplace Dashboard! It empowers our admins to stop guessing, stop chasing technical ghosts, and start being the strategic voice of the technology.

This feature lets you drop a pre-recorded voicemail directly into someone’s inbox without staying on the line. It’s perfect for reminders, follow-ups, or outreach campaigns where consistency matters.

Voicemail Drop works with Zoom Phone accounts that have the necessary Zoom Phone Power Pack add-on, and messages can be uploaded or recorded directly in Zoom. Each clip can be up to 45 seconds, and you can store multiple messages for quick access. Once sent, the call ends automatically, allowing you to move on efficiently.

I'm part of a nonprofit that allows various people enter the zoom account using the same password and user name. There is no specific administrator or different passwords for different people to enter.

 

Recently someone entered the zoom account and started a meeting. They were in the meeting but it was not acting like they were the host of the meeting. They could not see when new people were in the waiting room, waiting to join the meeting.

 

Is it possible that when I went into the account an hour before the meeting to create a different meeting on a different date, when I didn't sign out of the account after I was finished, could that have created a problem for the person starting the meeting?

 

I wasn't at the meeting with them so I am not certain what they experienced but they did say that they couldn't see all of the people in the waiting room, and so, could not let them in to start the meeting.

Zoom Phone Online Fax is an electronic fax service enabling users to send and receive faxes without a traditional fax machine. It's available for Zoom Phone Pro and various Zoom Workplace plan subscribers. Users can exchange PDF files and utilize features such as auto receptionist and shared line group caller IDs for faxing.

 

Fax usage is charged per page for certain plans, while others offer unlimited faxing. Currently, the service is limited to US and Canada users and supports only black and white faxes. Users can manage and view their fax logs through the Zoom Workplace app or web portal.

 

Additionally, Online Fax requires a Zoom Phone Pay-As-You-Go (PAYG) or Prepay plan to be activated.

This is where recording with Zoom comes in. It's like having a perfect memory for your meeting, capturing all the valuable discussion points and decisions. This simple tool ensures your team can easily review what was said, get new members up to speed, and keep everyone aligned.


Using Voice Recorder with AI Companion

To make this even easier, Voice Recorder can be used with AI Companion. It records your in-person conversation and then automatically generates a transcript and summary. This gives you a written and audio record of what was said, which is great for documentation, training, or just quickly referencing key details.


Before you begin, always make sure you follow all applicable laws when recording conversations. The first time you start recording, an on-screen prompt will appear with instructions to guide you.

How to Record an Ad Hoc Event

Follow these simple steps to start a new recording with the Zoom mobile app:

  1. Sign in to the Zoom mobile app.

  2. Tap the Record button.

  3. If a verification dialog appears, tap OK.

  4. The recording will start right away, unless you have an upcoming calendar event.

  5. If you do have a scheduled event, you'll be prompted to choose between it or a new recording. Simply tap New recording, then Start recording.
