Participant entering Zoom meeting unscheduled

Jacinda
Listener

Hope someone can help us.

We are a small firm with some paid Zoom Pro accounts.

Our consultants schedule meetings with clients via Zoom. We send the clients the meeting room details when they book.

Some clients however test the link beforehand and then enters the meeting room while the consultant is busy with another client.

How can we prevent this from happening?

Hi there,

The waiting room becomes only available once the host starts the meeting.

However, you can just deactivate 'Allow participants to join anytime'.

Hi Jacinda,

This is happening because you have the waiting room enabled: participants land in the waiting room but they can't do anything until you start the meeting and allow them in. If you don't want this to happen, you should disable the waiting room when scheduling the meeting and disable the option "Allow participants to join before host" in your settings (on the Zoom portal).

However I would not recommend disabling the waiting room as it's an important security feature, or at least I would advise re-enabling it as soon as you launch the meeting (from the Security button inside the meeting).
